The International Committee of the Red Cross (ICRC), Libya Delegation is recruiting a Receptionist/Office clerk in its office in Libya Support Unit (LSU), Tunis. The Receptionist cum Office Clerk is the second point of contact after the guard.
S/he welcomes the visitors for the Tunis-LSU management and on ad hoc basis for other departments, handles only one landline (phone and fax) for the management and all in/out mail, as well as administrative tasks related to the welcome/reception, deals with all the external and internal mail and is in charge of the office stationery.
Main responsibilities:
- Reception:
- Welcomes visitors and escorts them to the appropriate staff member
- Answers and redirects incoming calls and answers callers’ questions, takes messages and relays information diligently,
- Sends and receives, dispatches faxes
- Can perform receptionist tasks in support to other departments upon request.
- Office clerk:
- Updates contact lists and tables, telephone numbers, addresses, registers, inventories,
- Distributes and collects access badges,
- Handles calls for drivers or taxis
- Supervises schedules of meeting and training rooms, distributes programs (briefing, debriefing, etc..) and actively follows up the appointments,
- Coordinates diplomatic mail and correspondence out, all paper documents collected and dispatched via LSU chancellery,
- Picks up, sorts, distributes and delivers mails (departments and individuals) and makes records of reception and dispatch of post upon request,
- Makes photocopies, scans and handles the fax machine,
- Manages office stationery (including ICRC letterhead) and consumables for printers (toners), helps install projectors, computers and other equipment for meetings, runs errands (urgent purchases, etc.) upon request
- Performs simple secretarial work (drawing out bordereaux, briefing programs, basic letters etc.).
