Danish Refugee Council, one of the world’s leading humanitarian NGOs, is currently looking for a highly qualified Support Services Assistant.

About the job

The Support Services Assistant role holds a cross-departmental mandate supporting teams with financial and logistical support and other cross-cutting tasks in support of DRC’s teams. Your main duties and responsibilities will be:

Main duties and responsibilities:

Bank and Cash transactions:

  • Coordinate with HQ for balance accounts cleanup for the former North Africa Regional Office Clean up.
  • Coordinate with legal auditors for financial statements audit and legal status updates for DRC
  • Ensure all payments (Bank and cash) are made timely and in accordance with the existing DRC forms.
  • Ensure all payments meet the requirements of National Law and engage with authorities, tax advisors or other stakeholders to ensure tax requirements are met accordingly.
  • Verifying that any transaction is supported by proper supporting documentation as per DRC’s financial rules and regulations and proper authorization is obtained prior to releasing a payment.
  • Prepare the bank payments and liaise with the bank.
  • Manage petty cash and clear cash advances upon request.

Dynamics record keeping

  • Establish, maintain and reconcile the general ledger.
  • Ensure all expenses enter the DRC Dynamics in time and of the highest quality (Along with support documents). (D/W/M)
  • Prepare Monthly cash counts.

Vendor/staff payments:

  • Ensure all payments are made timely and in accordance with the existing DRC forms.
  • Verifying that any transaction is supported by proper supporting documentation as per DRC’s financial rules and regulations and proper authorization is obtained prior to releasing a payment.

Filing and Archiving:

  • Maintain proper filing of all financial documentation (vouchers, contracts, tender documents, etc.) Hard & Soft Copies.
  • Scanning for financial documents as needed and attaching them to Dynamics per each posting.
  • Routine record keeping.

DRC Dynamics and Digitalization and Reporting

  • Follow up on the correct implementation of DRC Dynamics (Finance Module) and the quality of the data entered in the system.
  • Monitoring accuracy and timely update of master data in dynamics for the Coordination Office.
  • Manage digital spaces like Share point (Finance)

Logistics/Procurement/Fleet Management

  • Support with logistics and procurement tasks (finding suppliers, local procurement, arrangement of deliveries, dispatch of goods, documentation linked with procurement).
  • Create/maintain an up-to-date inventory of all demining assets.
  • Assist with LVOs as requested by program staff.
  • Assist in updating suppliers list and price lists and regularly checking on price validity for updates
  • Support in logistics-related tasks as required by the manager

 

About you

To be successful in this role we expect you to have at least a minimum of 1 year experience in a similar role preferably in an INGO setting. Moreover, we also expect the following:

Required

  • Relevant university degree (Finance, Accounting) or similar education.
  • Strong written and mathematical skills.
  • Strong computer skills.
  • Experience in managing and handling cash
  • Experience of working with UN or Non-Governmental organizations.
  • Strong organizational skills
  • Ability to prioritize large and changeable workload
  • Good communication skills and ability to work as part of a team
  • Fluent in spoken and written English.
  • Fluency in French and Tunisian languages is a must
