The ICRC Delegation in Libya – temporarily located in Tunis – seeks to fill the following position:

 

Administrative Assistant – Chancellery

The position is based in Tunis

 

Under the supervision of the main delegation’s assistant, he/she supports the management team -including daily secretarial tasks -, supervises all the translations (Arabic/English and reverse) and contributes to the implementation and monitoring of information management (IM) policies and procedures in the delegation.

 

MAIN TASKS

 

  • Carry out all official translations (English/Arabic and reverse), and ensure that all translated documents in Arabic or in English with institutional value are securely filed in collaborative tools

  • Contribute to the implementation of the information management procedures in the delegation and organize training or information sessions on IM and new tools for the department assistants

  • Ensure that documents received at the delegation are shared with respective staff and are delivered in time

  • Manage a range of collaborative tools in use within the delegation and updates general information in the reference tools

  • Is the relay of policies passed down by the Assistant and IM Officer and act as “focal point” in information management for all other departments’ assistants

  • For the management, ensure that inside and outside contacts are well managed by means of ICRC-supplied tools. Manage calendars of the management, upon request

  • Write formal and informal correspondence in English and/or Arabic for the signature of the management; reread its correspondence/reports/other documents and ensure optimum lay-out

  • Carry out secretarial tasks (filing, photocopying, scanning, mailing, etc.)

  • Compile and finalize summaries and regular reports.

     

    REQUIRED PROFILE

     

A successful candidate will:

  • Possess a university degree in Business administration, Information Management, or a related field

  • Holder of a master degree of translation or linguistic

  • Have at least three years professional experience, including at least three years in a similar position

  • Be fully conversant with and have a keen interest in working with MS Office Suite

  • Have excellent oral and written communication skills and proficiency in Arabic and English

  • Be strongly motivated by humanitarian work

  • Have good training skills and be very well organised.

 

As an asset, the successful candidate may also:

  • Possess administrative and organizational skills and have a sense of responsibility and discretion

  • Be punctual, rigorous with strong organisational skills in the daily work

  • Have the sense of responsibility and capacity to fix and respect priorities

  • Show proactivity and perseverance, and ability to cope with stress

  • Have other skills in SharePoint knowledge, Infographics knowledge or proficiency in French.
