About the job

This role has a country focus and ensures compliance to DRC procedures and guidelines within the country. It contributes to the development of country strategies, which are translated into action plans and day-to-day tasks.

Your main duties and responsibilities will be:

  • Perform administrative task according to DRC guidelines.
  • Book hotels and flights for DRC staff national and international travel and meetings.
  • Receive and send official correspondence and maintain record for it.
  • Facilitate the update and renewal of organization registration certificates
  • Follow up and obtain residency and work permits for international staff
  • Perform ad hoc office tasks.
  • Any other duties relating to the nature of the job as requested by the Manager.
  • Facilities Office management
    • Ensure all office infrastructures are appropriate, safe and functioning (i.e. security system, health and safety, communications, etc.)
    • Oversee all aspects of office maintenance and cleanliness.
    • In conjunction with the safety team, ensure safety and security issues for the general security of the office.
    • Ensure insurance plan is always in place for all office buildings and equipment and updated .
    • Maintain and update lease agreements and coordinate the renewal of leases for office premises, guesthouse and expatriate housing. Act as the focal point for liaison with landlords.
    • Coordinate handover of leased properties and ensure security deposits are refunded on timely basis.
    • Ensure repairs and maintenance of facilities in compliance with DRC standards and procedures.
    • Manage the administration team to ensure overall efficiency
    • Ensure there is always sufficient office stationary and office supplies and monitor their utilization.
  • Guesthouse management:
    • Management of the guesthouse ensuring all infrastructures are safe and functioning.
    • Oversee all aspects of upkeep and cleanliness at the guesthouse.
    • Ensure guesthouse stocks and supplies are in place and monitor their utilization.
    • Ensure the Guesthouse Handbook is updated on regular basis, and available at the guesthouse.
    • Act as focal point for guesthouse and expatriate houses, liaise with property landlords on any matters arising. Oversee repairs as required.
  • Administrative support
    • Book hotels and flights for DRC staff national and international travel and meetings.
    • Follow up and support with residency and work permits for International staff
    • Follow up and support with Visa applications for visitors and new staff.
    • Receive and send official correspondence and maintain record for it.
    • Ensure all utility payments are done on timely basis.
    • Ensure meetings for the senior management team are organized and other administrative support as may be required.
    • Any other duties as requested by Manager.

  • Contract length: 1-year renewable depending on funding and performance.
  • Level: Band H
  • Designation of Duty Station: Tunis, Tunisia.

Critères d'éligibilité

  • To be successful in this role we expect you to have at least 2 years' experience in administration, in an international NGO in a similar role at mid-management level.
  • Knowledge of travel and immigration procedures
  • Must have experience in handling humanitarian flight services
  • Advanced English proficiency
  • Fluency in Arabic
  • University degree or equivalent professional qualification
