Background

USAID’s Tunisia Accountability, Decentralization and Effective Municipalities (TADAEEM) Project is a 4-year project that aims to help the Government of Tunisia decentralize governance to the institutions closest to its citizenry and continue to strengthen its nascent democracy. Deloitte, alongside a team of subcontractors, will work to enhance citizen participation in the process of governance as well as the government’s capacity to deliver the services that citizens prioritize. The Project team will work in 12 provinces, 33 adjacent municipalities, and with the central government in Tunis to ultimately strengthen the ecosystem of stakeholders and institutions across the country through four regional hub offices located in Kef, Kairouan, Gabes and Tozeur, supported by headquarters in Tunis.

Objectives

TADAEEM is a large USAID funded project working in a country that is not as familiar with USAID as other international donors. The Event Coordinator will work with all the department of the project to track and ensure consistent planning and realization of events including workshops, meetings, conferences, trainings and special large public events. The Event Coordinator will work with other TADAEEM staff such as communications, procurement, subject matter staff and project leadership to identify modular elements that can be standardized across all TADAEEM activities for a consistent message, presentation and quality. The event coordinator will also work with TADAEEM staff to educate and guide them on TADAEEM brand identity, brand experience and operating procedures through guides, templates, tools, training, evaluations and outreach as needed.

Specific Tasks

  • Review TADAEEM past materials and programs as well as upcoming planned activities to get a sense of TADAEEM’s brand experience
  • Propose brand experience modules, tools to be adopted (e.g. process flows and key points for every activity: invitations, registration, program, follow-up, etc. – every interaction that people have with TADAEEM.
  • Develop and provide training for TADEEM staff in French and/or Arabic and produce guidance, templates and instructions to support the TADAEEM brand experience
  • Design, test and update tools, forms, procedures and systems as needed to ensure consistent, quality brand experience.
  • For TADAEEM events, develop detailed guides, checklists and tools to guide the management, planning, production and implementation of TADAEEM events in Tunis and the regions.
  • Be the point person for management of TADAEEM events with responsibility to develop schedules, follow up with assigned staff on their duties, equally distributing workloads, ensuring quality and achievement of milestones and deliverables before, during and after events.
  • Coordinate with all the administrative staff to guarantee the proper conduct of planned events (procurement, MEL, security, technical staff, regional hubs, project Management…)
  • Establish regular task force meetings to monitor the preparation of events and workshops
  • Inform all Managers involved in each workshop/event about the progress at least on a weekly basis.
  • Maintain and share with the Management an updated 6 months calendar of upcoming events.
  • Document lessons learned for incorporation into TADAEEM continuous learning on what works for activity implementation, strategies and achievement of intended results
  • Assist as needed with brand associated activities such as layout of collaterals, drafting of brand experience pieces (project introduction, purpose of activity, etc.), photo and video capture, event write-ups and any other tasks as assigned by supervisor or project leadership.

Reporting Requirements

The Workshops and Events Coordinator shall report directly to the Chief of Party.

Critères d'éligibilité

  • Minimum Years of Experience: 5
  • Minimum Degree Required: Bachelor's degree
  • Extensive knowledge of Tunisia demonstrated ability to organize and manage development program events and brand experiences in Arabic, French and English, and incorporation of lessons learned for continuous improvement of programs and activities
  • Outgoing personality able to engage effectively with counterparts and technical staff and work as part of a supportive team to document results as well as intended and unintended impacts objectively and in clear terms
  • Attention to detail, ability to meet and exceed deadlines, self-motivated with excellent time management and communication skills (verbal and written) as well as strong knowledge of Microsoft Excel and Word
  • Past experience with donors’ projects is preferred
  • Demonstrated organizational management skills required
