Scope of the Role :
To provide admin & secretarial support to the Admin&log coordinator as well as the department staff. To be responsible for updating staff records, monitor attendance, filing, payroll update and managing office accommodations and storage facilities.
Key Accountabilities :
The Admin assistant is accountable to fulfil his/her roles and responsibilities in line with Islamic values and principles, and to report to the Department Manager regularly.
- Administration
- Update local office inventory lists on a monthly basis; conduct regular physical inventory check, and produce stock report.
- Ensure that the offices and guesthouse have necessary supplies, e.g. drinking water, gas etc.
- Perform general clerical duties, including photocopying, filing and mailing
- Book hotel reservations
- Collection and submission of monthly utilities bills (Electricity, Telephone, and Mobile)
- Maintaining office files according to IR record management policy.
- Facilitation in cases of seminars, conferences and interviews for IR promotion purposes.
- Maintain the files for all agreements of lease and services.
- Preparation of services and procurement agreement and submit it to the logistics and admin coordinator for verification
- Once agreement approved handed over to the logistics assistant for signature from supplier and follow up purpose.
- Timely preparation of purchase request for the procurement of office supplies.
- Human Resources
- Preparation and filing of timesheets and leave requests
- Monitor and prepare monthly attendance report.
- Monitor and prepare monthly leave report.
- Investigate and understand causes for staff absences.
- Monitor scheduled absences such as holidays or travel and coordinate actions to ensure the staff absence has been adequately covered off to ensure continuity of services
- Timely preparation of HR documents once required such as employment certificate…etc.
- Timely distribution of pay slips and employment contracts
- Coordination with labor office for advertisements and publication of vacancy announcements
- Coordination with CNSS office in case of need of history or other documents
- Prepare notices and advertisements for vacant staff positions.
- Prepare employees contracts, consultancy and services contract and submit it to admin coordinator for verifications.
- Preparation of meeting minutes once required for meeting.
- reception and filtering of telephone calls and letters, reception of visitors and guests.
