Title: Program Assistant

Base: Tunis, Tunisia

Reporting to: Country Director

Description: The Program Assistant will provide administrative, logistical, and reporting support to the Country Director and assist project managers as directed by the Country Director.

Contract Type: Short Term consultancy contract

Tasks and Responsibilities

  • Organize and manage all administrative functions related to IWPR’s Tunis office operations;
  • Coordinate logistics for the department’s in-office meetings and events, including scheduling, venue arrangements, set-up, equipment needs, refreshments, materials, invitation and RSVP process;
  • Create and maintain IWPR’s administrative and programmatic databases to ensure they are up-to-date, including trainer/trainee lists;
  • Assist in the maintenance of up-to-date human resources files for staff, interns and volunteers;
  • Assist in compiling materials for the monthly newsletters and company global website when required;
  • Assistproject staff in preparing materials for trainings, including logistical tasks such as booking accommodation and other travel arrangements;
  • Assist in the preparation of, and collection/collation of Monitoring & Evaluation data and post-training materials;
  • AttendIWPR staff meetings and writes official meeting minutes;
  • Perform general clerical duties to include but not limited to: photocopying, scanning, mailing, and filing;
  • Assist in translating short documents relevant to IWPR work between English and Arabic, monitor social media and Arab language media;
  • Work with all programs as needed to accomplish assigned tasks and responsibilities

Critères d'éligibilité

  • Minimum of 2 years of experience in area related to office administrative support services;
  • Prior work experience in a non-governmental organization or non-profit organization a plus;
  • Excellent skills in the areas of organization, attention to detail, time management, ability to manage multiple tasks, define and set priorities and problem solve are required;
  • Very strong ability to think ahead, take personal initiative, work both independently and as a team member, collaborate and coordinate with others;
  • Strong interpersonal and communication skills including good written and spoken English and Arabic;
  • Excellent skills and experience with Microsoft Word, Excel and Outlook, working with databases and Internet research.
