The ICRC Delegation in Libya – temporarily located in Tunis – seeks to fill the following position: Welcome Assistant The position is based in Tunis
Under the supervision of the Welcome Supervisor, the Welcome assistant helps ensure that Welcome and Administrative activities are organized smoothly.
MAIN TASKS
- Organize and Follow-up the travel for the ICRC staff, interlocutors & members of the national society going on mission in accordance with the ICRC’s travel policy,
- Arranges accommodation in hotels or ICRC residences for visitors in coordination with the F&A Manager.
- Prepares and keeps updated welcome files/envelops for visitors or ICRC personnel highlighting the arrangements done (pick up timing, accommodation address, telephone lists, etc.).
- Organizes airport transfer and pick-up for ICRC staff and visitors and updates the welcome DB
- Assures the follow-up with the Ministries and different departments for residency permits, visa issues and any other issues regarding welcome activities under the supervision of the Welcome Supervisor.
- Books and confirms hotel rooms as required in travel requests.
- Ensures that the department organizing the seminar submits all necessary documents (seminar request participants list, etc.) and submits for validation.
- Maintains work guidelines & the standards of service as set by the Welcome supervisor to ensure delivering services (tasks) in the best & most professional manner.
- Maintains the arrangement of the daily file cases/work chores in a comprehensive manner to enable other work colleagues take over files when the need arises.
- Assures the position of focal point for LSU staff in coordination with Welcome Tripoli.
- Ensures necessary administrative work is implemented on time
- Knows, applies and complies with all the administrative procedures linked to his/her work (financial and HR such as appraisals, budget follow up, etc.)
- Keeps Welcome files and databases up-to-date always
- Handles information (general and specific) accurately and with confidentially.
