Job Summary:

Serve as the assistant to COP/DCOP;

Responsibilities include and are characterized by activities with multiple and varied programs/components. This position serves as the principal administrative support to COP/DCOP.Work ranges from office support assignments to performance of administrative duties involving decision-making and judgment. Communication and public contact are major components of job, both internal and external to the organiztion. Work requires contact with all levels of management and staff within the organization, client representatives, government agencies and vendors.

  • Manages and monitors a variety of information impacting the COP/DCOP’s responsibilities and priorities in response to workflow of the COP/DCOP. Coordinates and directs the office support activities and facilitates workflow for the COP/DCOP and subordinate units.
  • Makes travel arrangements. Plans and organizes conferences, and/or events.
  • Establishes and maintains files and records.
  • Ability to effectively handle responsibilities with limited supervision. No instruction needed on routine work and general instructions with periodic work review given on new work or special assignments.
  • Contacts are frequent with individuals representing other departments, and/or representing outside organizations.
  • Contacts involve obtaining or providing information / data of a sensitive nature on matters of importance.

Critères d'éligibilité

  • Uses established filing and data systems, functions, and/or procedures that require knowledge of the program
  • Reviews data and information for completeness and accuracy using standard guidelines; performs tasks with attention to detail.
  • In-depth understanding of software used to perform day-to-day functions.
  • Uses office software programs, information systems, and office equipment to access, input, and verify standard information.
  • Communicates information clearly to staff, clients, and/or public about services, processes, and procedures using prescribed or established guidelines.
  • Ability and willingness to quickly adjust plans, schedules and agendas to meet rapidly changing needs and priorities.
  • Associated Degree or International Equivalent in Business Administration or Related Degree.
  • Bachelor’s Degree preferred.
  • Typically requires a minimum 5+ years of progressively responsible financial analysis and/or related experience in order to handle budgetary task.
  • Must have advanced knowledge of Microsoft Office Suite of products (Excel, Word, PowerPoint, and Access).
  • Typical office environment.
  • Ability to spend long hours looking at computer screen and doing repetitive work on a keyboard.
  • Ability to sit and stand for extended periods of time.
  • Ability to lift 5 - 50 lbs.
  • Personal Computer, Microsoft Office 365 (i.e. Word, Excel, PowerPoint, e-mail), office telephone, cell phone and printer/copier.
  • Travel Requirements: Less than 10-20%
