Context of the position
The Archivist is responsible for the proper management of both physical and digital archives for Acted Libya/Tunisia in Tunis. The role involves establishing, maintaining, and organizing archives in compliance with Acted’s policies and procedures.

 

Key roles and responsibilities 

Documentation flow management

  • Receipt of documentation from field bases and performance of an initial compliance check (accurate document identification, document sequencing, and completeness verification).
  • Followup on the transmission of documentation from the bases to Tunis, in line with timelines established under Acted procedures.

Filing and achieving physical files

  • Creation of digital copies of original documentation for the Finance, Logistics, and Transparency & Compliance (T&C) departments.
  • Filing and classification of documentation in accordance with the relevant Acted procedural manuals.

Archives management

  • Responsibility for the organisation and proper maintenance of the archive room, including regular updates of archive inventories based on incoming files and outgoing files (destruction).
  • Destruction of obsolete archives following a sorting process conducted in coordination with the Transparency & Compliance (T&C) department and upon Headquarters approval.

 

Required qualifications and technical expertise
Basic understanding of paper-based documentation review. 

Ability to structure, maintain, and retrieve physical archives. 

Ability to structure, maintain, and retrieve digital archives.
Good MS Excel skills and familiarity with MS Office basic functions.
Good verbal and written English skills.
Excellent interpersonal and communication skills.

Strong understanding of confidentiality and data protection principles.
