1. BACKGROUND

The purpose of the USAID-funded Jobs, Opportunities & Business Success project (JOBS) is to create jobs in Tunisia on a sustainable basis by :

  1. providing targeted assistance to Tunisian businesses, especially SMEs, to expand their sales and/or exports enabling them to expand and hire additional workers;
  2. Enhance work force development by reducing the education/training gap between what the university and vocational training systems provide and the actual needs of Tunisian businesses;
  3. Promote a more effective business enabling environment by working with the public and private sectors to promote policy and regulatory reforms;
  4. Communicate to Tunisians, especially youth, a sense of the importance of market-led economic growth and entrepreneurship, as well as vocational education as an apt career choice.

JOBS also aspires to have project stakeholders and Tunisians at large understand and be aware of USAID’s contribution to these objectives through the JOBS project.

2. POSITION DESCRIPTION

The Administrative Assistant will support a variety of administrative and logistic support duties for all project in Tunis and the regions, logistics related functions, including inventory tracking.

3. DETAILED RESPONSIBILITIES

  • Assist the Operation Manager in the management of office contracts (leasing, STEG, SONEDE, etc.)
  • Support the Operation Manager to maintain and follow up the inventory logbook
  • Support the inventory and the equipment tracking of the project
  • Assist and responds to the logistics needs and requests of the office
  • Support all activities related to the procurement of IT equipment and assets of the office
  • Assist to track and supervise of all activities related to the management of IT equipment and assets of the office, including maintenance and reparation.
  • Assist in processing financial requests-payment and submitting of invoices in D365
  • Support the Operations Manager to supervise a team of at least 6 cleaning staff and ensure the relation with the cleaning company
  • Support the Operations Manager to ensure logistics related needs for consultants and expats.
  • Support the Operations Manager to ensure logistics related needs for project’s events either in Tunis or in the regions.
  • Perform any other tasks assigned by the Operations manager, which are consistent with the scope of work and the general requirements of the project.

4. LEVEL OF EFFORT AND PERIOD OF PER FORMANCE

This position is long-term, on a full-time basis.

5. LOCATION OF THE ASSIGNMENT

The assignment will be in Tunis.

6. SUPERVISION AND REPORTING

The Administrative Assistant will report to the Operations Manager.

Critères d'éligibilité

  • At least 3 years of professional experience.
  • Progressively responsible experience in administration, operations, logistics or related field preferred
  • Bachelor’s degree (or equivalent) in related field of study
  • Excellent verbal and written communication skills
  • Highly computer literate with advanced e-mail, word processing and spreadsheet management skills
  • Excellent interpersonal and organizational skills
  • Experience with USAID projects preferred.
  • Experience with international donor-funded projects also an advantage
  • Oral and written fluency in English, French and Arabic experience preferred
