Title: Administrative Assistant

Length of Assignment: Long-Term

Reports to: Operations specialist

BACKGROUND

The purpose of the USAID-funded Jobs, Opportunities & Business Success project (JOBS) is to create jobs  in Tunisia on a sustainable basis by (1) providing targeted assistance to Tunisian businesses, especially  SMEs, to expand their sales and/or exports enabling them to expand and hire additional workers; (2)  enhance work force development by reducing the education/training gap between what the university and  vocational training systems provide and the actual needs of Tunisian businesses; (3) promote a more  effective business enabling environment by working with the public and private sectors to promote policy  and regulatory reforms; and (4) communicate to Tunisians, especially youth, a sense of the importance of  market-led economic growth and entrepreneurship, as well as vocational education as an apt career choice.

JOBS also aspires to have project stakeholders and Tunisians at large understand and be aware of USAID’s contribution to these objectives through the JOBS project.

POSITION DESCRIPTION

The Administrative Assistant will support a variety of administrative and logistic support duties for all  project in Tunis and the regions, logistics related functions, including inventory tracking.

DETAILED RESPONSIBILITIES

  • Assist the operation specialist in the management of office contracts (leasing, STEG, SONEDE, etc.)
  • Support the Operation Specialist to maintain and follow up the inventory logbook
  • Support the inventory and the equipment tracking of the project
  • Assist to track and supervise of all activities related to the management of IT equipment and assets  of the office, including maintenance and reparation.
  • Assist in the management of the relationship with the phone companies (Orange and Ooredoo) and  support the administration of phone contracts
  • Assist in processing financial requests-payment and submitting of invoices in D365
  • Support in the organization of events (booking, Logging, invoices tracking…)
  • Responds to the logistics needs and requests of the regional offices
  • Receipt and record of invoices received and ensure their assignment to the team
  • Assist the Operation specialist in processing financial requests-payment of petty cash
  • Support the Operation specialist to ensure logistics related needs for consultants and expats.
  • Support the Operation specialist to ensure logistics related needs for project’s events either in Tunis  or in the regions.
  • Other duties as required.

LEVEL OF EFFORT AND PERIOD OF PER FORMANCE

This position is long-term, on a full-time basis.

LOCATION OF THE ASSIGNMENT

The assignment will be in Tunis.

SUPERVISION AND REPORTING

The Administrative Assistant will report to the Operations Specialist.

Critères d'éligibilité

  • At least 3 years of professional experience. Progressively responsible experience in administration, operations, logistics or related field preferred
  • Bachelor’s degree (or equivalent) in related field of study
  • Excellent verbal and written communication skills
  • Highly computer literate with advanced e-mail, word processing and spreadsheet management skills
  • Excellent interpersonal and organizational skills.
  • Experience with USAID projects preferred. Experience with international donor-funded projects also an advantage
  • Oral and written fluency in English. French and Arabic experience preferred
