JOB BRIEF
The Regional Personnel and Administrative Assistant based in Tunis will support all aspects of personnel management and administrative support for MENA programs and operations. The Regional Personnel and Administrative Assistant will work closely with the Regional Operations team and will report to the Regional Operations and Compliance Manager. This is a full-time position based in Tunis, Tunisia. This position is open to Host Country Nationals and legal residents in Tunisia. Hiring for this position is contingent upon funding availability.
RESPONSIBILITIES
Personnel Duties: %70
- Support of the interviewing and hiring processes, which include writing job descriptions, coordinating job posts, reviewing/screening resumes, and performing reference checks;
- Coordinate between the hiring managers and the finance and admin POCs about new hires needs;
- Liaise with the International HR Manager and support the MENA Senior Resource Manager as needed.
- Assist with the evaluation the MENA staff compensation, incentives, and salary scales in close coordination with the Operations and Compliance Manager.
- Prepare and update employment records related to hiring, promoting, and terminating;
- Ensure personnel files are completed and updated;
- Support the periodic performance evaluations (to be conducted by relevant supervisors);
- Support all matters related to the health insurance plans and maintain records;
- Keep all benefits and leave records for the MENA based staff;
- Prepare and keep records of contract expiration dates and contract renewals, to be shared with Human Resources, Program Managers and the finance team;
- Support training sessions and explain human resources policies, procedures and laws, to new and existing employees;
- Provide the Operations and Compliance Manager with continuous feedback and assessment of the current hiring, onboarding and training and development policies;
- Maintain records of employee participation in all training and development programs;
- Support current employee satisfaction and productivity, ensuring that the workplace is always running efficiently;
- Be the point of contact for any employment relations issues, such as work complaints and harassment allegations and coordinate with HR to address it;
- Perform other duties as requested by the Operations and Compliance Manager.
Administrative Duties: %30
- Support the procurement transactions for operations and programs.
- Support the vendors evaluation process.
- Support the travel logistics as needed and submit travel authorizations on concur.
- Submit contracts in Quick Base as needed.
- Track vendors contracts and payments.
- Support the inventory management as needed.
QUALIFICATIONS
- Bachelor’s degree in management or business-related field preferred, program/project management or administrative experience or equivalent combination of education and experience required.
- Familiar with general personnel practices, recruitment process, contracts and administrative principles, and coordination of major office activities.
- One (1) or more years of related administrative experience required.
- Strong time management skills with the ability to prioritize work and meet deadlines.
- Demonstrated research, analytic, and writing skills in Arabic and English.
- Must have excellent interpersonal skills.
- Excels in dynamic and team-based work environments that require creative problem-solving and an ongoing learning mindset.
- Strong skills in the Microsoft Office Suite, particularly MS Word, MS Outlook, and MS Excel, is a must.
- Highly motivated individual who is a self-starter with great attention to detail.
- Excellent organizational skills and attention to detail and adept at multi-tasking
- Strong communication skills and ability to liaise with internal departments, external partners, and vendors.
