Job Description
Under the direct supervision of the Head of Sub-Office, and close coordination with Local Security Assistant and Sr. Field Security Associate, the incumbent will assist IOM premises (Hzag Satellite Office, in Sfax Governorate), refer visitors, and support clerical functions for the office.
Responsibilities
- Welcome visitors and provide courteous reception, directing them as needed.
- Maintain a visitor log and assist visitors with security access procedures, when required.
- Answer and transfer calls, take messages, and provide routine information promptly and politely.
- Receive, direct, and record incoming and outgoing correspondence (emails, courier, packages, etc.) following standard office procedures.
- Maintain basic reference materials for office-wide use, such as staff phone lists, office holidays, emergency contact numbers.
- Assist with logistical arrangements for meetings, events, and workshops, including invitations, transportation, and materials preparation.
- Provide general administrative support to various units as requested.
- Perform other related duties as assigned.
Qualifications
- High school diploma with two years of relevant experience; or,
- Bachelor’s degree in Business Administration or related field from an accredited academic institution.
- Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook.
- Ability to organize paperwork in a methodical way.
- Discreet, patient and client-oriented, with willingness to learn.
- Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.
Skills
- Basic communication skills, both verbal and written,
- Customer service orientation and polite interpersonal skills.
- Ability to follow instructions and standard office procedures.
For this position, fluency in English, French and Arabic is required (oral and written).
