SUMMARY:

The Project Assistant will be responsible for providing logistical and administrative support to USIP’s Local Solutions to Environmental Crises program in Tunisia. The PA will provide daily logistical, administrative, and financial tasks, and other programmatic responsibilities including budget and contract management, activities implementation, and travel logistics using USIP’s standard policies, procedures, and guidelines. This position is based in USIP’s Tunis Office, Tunisia; reports to the Project Officer in Tunisia; and will work closely with the Program Manager and other Middle East North Africa staff. This is a full-time Personal Services Contractor position based in Tunis and is open to Host Country Nationals and legal residents in Tunisia. 

MAJOR DUTIES & RESPONSIBILITIES

  • Assist in documenting preparation and submission of payments, vendor contracts, preparation of event budgets as well as overall budget projections.
  • Plan and support the travel of USIP staff and participants including travel bookings, authorizations, vouchers, cash requests, and reimbursements.
  • In consultation with project leads, take ownership of monitoring project budgets, spending, and contracts administration.
  • Support in preparing and disseminating timely programmatic and financial reports.
  • Coordinate and develop agendas and event logistical plans for project-related meetings and events with project partners and stakeholders.
  • Arrange relevant planning meetings within the office and with counterparts.
  • Make appointments, follow up with partners, attend meetings, and take notes as needed.
  • Provide translation and interpretation support as needed in English, Arabic, and French.
  • Ensure that databases and documents are updated as necessary and in a timely manner to enhance the knowledge management of USIP’s programs.
  • Assist in preparation of annual and quarterly project workplans.
  • Attend, support, and monitor project activities as needed.
  • Support collecting and analyzing M&E data and reporting.
  • Support project leads to ensure projects’ staff follow USIP policies and procedures: security, finance, administration, and operations.
  • Maintain a high level of security awareness at all times.
  • Represent USIP when/where necessary.
  • Perform other duties as needed.

QUALIFICATIONS

  • Bachelor’s degree in international relations, environmental science, public administration, peace studies, conflict resolution, or a related field.
  • At least one (1) year of relevant professional work experience.
  • Knowledge of Tunisia political and cultural dynamics experience preferred.
  • Demonstrated project design, implementation, and monitoring, evaluation & learning skills.
  • Experience providing administrative and operational support to teams and organizations.
  • Strong time management skills with the ability to prioritize work and meet deadlines.
  • Demonstrated research and analytic skills in Arabic, English, and French.
  • Proficiency in Arabic and English, both written and oral required. Proficiency in French is preferred.
  • Must have strong collaboration skills; must have the ability to coordinate the input and priorities of multiple players.
  • Must have excellent interpersonal skills.
