International Organization for Migration (IOM) Libya mission in Tunis is looking for a Project Assistant according to the terms of reference stipulated below.

 

I. POSITION INFORMATION

Position title : Project Assistant
Position grade : G4
Type of appointment : Special Short Term, 6 months duration with possibility of extension
Duty station : IOM Libya mission in Tunis
Reporting directly to : Programme Officer
Overall supervision by : IOM Libya Chief of Mission

II. CONTEXT

The International Organization for Migration (IOM), as a member of the IASC, recognizes the importance of accurate and timely information to advise an adequate humanitarian response as well as future transition towards return and recovery. Insecurity and instability in Libya have led to widespread internal displacement. IOM’s projects seek to provide a better understanding of IDP displacement and other mobility patterns in the country in order to inform a better targeted humanitarian response.

Under the direct supervision of the Programme Officer, the Project Assistant will be responsible, for the following activities, according to the procedures and training provided by IOM:

III. RESPONSIBILITIES AND ACCOUNTABILITIES

  1. Support liaison with relevant governmental, non-governmental entities (NGOs), international organizations as well as other relevant actors.
  2. Assist in the organization and implementation of field missions and trainings (Travel Authorization, security clearance).
  3. Assist in data entry, verification and dissemination.
  4. Assist with informal translations from English to Arabic and vice versa, provide occasional translation services in meetings.
  5. Provide overall administrative support, preparing purchase requests, payrolls, requests for payment.
  6. Assist in the procurement processes, preparing contracts with vendors, soliciting quotes.
  7. Ensure proper documentation and filing of the project administrative and financial documents as well as of data collection forms.
  8. Draft notes for files (NFFs) for trainings and meetings.
  9. Undertake duty travel when necessary.
  10. Any other duties that might be assigned.

Critères d'éligibilité

  • High school diploma or equivalent. University degree in public and business administration, human resources management or other related fields would be an advantage.
  • Minimum of 04 (four) years’ experience on general administrative work
  • Work experience from an international organization is an advantage
  • Good writing, communication and negotiation skills
  • Personal commitment, efficiency, flexibility, drive for results; capacity to work effectively and harmoniously within a team of colleagues from varied cultures and professional backgrounds
  • Computer knowledge use including Microsoft and ability to use internet and email
  • Familiarity with mobile data collection technologies and GPS an advantage
  • Ability to work with flexibility and integrity;
  • Ability to work independently, with excellent organizational and multi-tasking skills
  • Ability to work in challenging settings, under pressure while respecting tight deadlines
  • Capacity to learn and gain new competencies, while accepting/giving constructive criticism
  • LANGUAGES : Fluency in Arabic and English ; Working knowledge of French an advantage
