The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is a state owned organisation. We work worldwide in the field of international cooperation for sustainable development. The position is assigned to EU projects in the department “International Services (InS)” which is an integral division of. We offer the experience, the regional and technical know-how of GIZ in the global market and provide international clients with expertise in terms of economic and result-oriented services.

Under the supervision of the Admin and Finance Coordinator the positions of the Project Secretary/Event Manager will have the following responsibilities and tasks:

Responsibilities and Tasks:

  • Support project activities in close cooperation with the Team Leader and Key Experts.
  • The daily operational execution of administration and managerial affairs for the project.
  • Logistical preparation of training courses, workshops, meetings, and other activities together with the project key experts
  • Support Workshops and Trainings logistically during their execution
  • Procurement of services and goods, preparation of contracts
  • Create and update inventory list
  • Responsible for petty cash
  • Collect and check all vouchers
  • Prepare travel claims of experts
  • Compile and pre-code voucher to Budgetlines for WinPaccs Cost Control
  • Administer WinPaccs cashbook and bankbook
  • Collect timesheets for all assigned experts every month and verify in terms of completeness and correctness of entries
  • Filing (hard and DMS)
  • Prepare and send out request for approvals to the European Union Delegation or Contracting Authority for project activities and budget spendings
  • Assist the financial manager in preparing 6-monthly invoices to the client
  • Collect material, documents and data related to the project technical sector and maintain the project`s database.
  • Coordinate the use of office and transport facilities in accordance with the agreement on the use of facilitates at the office and the project
  • Assist assigned national and international consultants in planning, conducting and evaluating activities.
  • Coordinate and prepare with team leader and experts meeting requirements.
  • Types documents in Arabic, French and English languages Answer, screen and forward and return phone calls and messages.
  • Make photocopies and scan documents, if and when required.
  • Assist in the documentation of meetings.
  • Attend internal or external team meetings / workshops and write minutes of them.
  • Assist in setting up and maintaining a filing system in office, keep information confidential, particularly in the field of personnel and finance.
  • Maintain and update the project filling system according to Team Leader and experts of the project to keep the electronic cashbook up-dated.
  • Assist in other project activities and any other tasks, as assigned by the Team Leader and experts of the project.

 

 

Critères d'éligibilité

  • Primary University degree, preferably in the field of Management, Administration, Political Sciences
  • At least 3 years of professional working experience in a similar position (i.e. Project Assistant) with 2 years of experience working with or for an international/technical cooperation agency or consultancy, preferably in the framework of a project or programme.
  • High sense of responsibility, self-organised and excellent communication skills
  • Excellent command of MS- Office, especially Excel and power point
  • Good understanding of Project Cycle Management and/or administration of EU Projects
  • Fluent in English, Arabic and French in speaking and writing.
  • Good working knowledge of modern telecommunication systems (Telephone, fax, e-mail, internet, social media).
