I. PROJECT BACKGROUND

The purpose of the USAID/Fiscal Reform for a Strong Tunisia (FIRST) project is to provide technical assistance and capacity building to key Government of Tunisia (GoT) institutions, particularly the Ministry of Finance (MOF), to strengthen the fiscal foundations for sustainable and inclusive growth. FIRST will help the MOF develop the capacity to formulate sound, predictable, and fair revenue policies. It will also support the MOF in modernizing tax administration and enhancing its ability to effectively, efficiently, and transparently carry out its revenue collection mandate. Lastly, it will strategically assist the GoT to use targeted analysis to advance key policy reforms that enhance efficiencies in government administration, improve the targeting of social spending, and increase fiscal space for priority investment and service delivery.The Project Assistant will work closely with operations department and all team members to ensure efficient and consistent administrative support is provided in areas such as office administration, events logistics, procurement and other ad hoc requests.

II. POSITION DESCRIPTION

The Project Assistant is responsible for daily administrative support of the project.

Principal Duties and Responsibilities:

The Project Assistant will be responsible for:

  • Assist with travel, hotel accommodations, and in country transportation for all project-related travel, including international consultants.
  •  Manage driver requests and distribute program to drivers on a daily basis.
  •  Schedule and plan meetings and appointments for Chief of Party, Operations Director, and Communications Team.
  •  Assist with procurement procedures by collecting quotations from vendors and ensuring deliverables are received in a timely fashion and are up to the standards and specifications agreed upon in the contract.
  •  Assist with proper filing and archiving of all relevant administrative, contractual, and programmatic documents via electronic files and hard copy files.
  • Perform any other administrative tasks assigned by supervisor which are consistent with this scope of work and the general requirements of the project.

Monitoring & evaluation support:

  • Assist the Monitoring, Evaluation & Learning (MEL) Specialist for data collection.
  •  Maintain and update of Reporting and Tracker files as requested by MEL Specialist and technical team.

Other occasional responsibilities:

  • Coordinate scheduling for meetings and conference rooms.
  •  Maintain office supplies as necessary.
  •  Manage inventory and maintain project inventory tracker.
  •  Assist in the set-up of FIRST workshops, training, events etc.
  •  Maintain a project office calendar of activities and events.
  • Serve as petty cash custodian.

IV. WORKING CONDITIONS/SPECIAL CONSIDERATIONS:

This assignment will be based in Tunis, Tunisia.

Critères d'éligibilité

  • Bachelor degree in Administration, business, or commerce required.
  • Must have ability to multi-task.
  • Attention to detail and strong professionalism.
  • 3 years of previous experience in an operations or administrative role is preferred.
  • Experience working with international development organizations, programs, INGO is preferred.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and ability to work with culturally diverse staff.
  • Fluent English and French required, fluent Arabic is a plus.
  • Strong working knowledge of Microsoft Word, Excel, and PowerPoint.
