Organizational Context and Scope:
Established in 1951, IOM is the leading inter-governmental organization in the field of migration and works closely with governmental, intergovernmental, and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants. Under the general oversight of the Immigration, Border Management (IBM) Division’s Immigration & Visa Support Solutions (IVSS) Unit at HQ & Sub Regional Coordinator, with
overall guidance of chief of mission in Tunis and direct supervision of CVAC Team leader, the Incumbent will provide administrative support for the Canadian Visa Application Centre operated by IOM.
Responsibilities and Accountabilities:
- Assist in the development of key materials, such as power point presentations, talking points, and official correspondence for internal and external use;
- Be a note taker and observer as requested in internal and external meetings and draft notes for file with follow-up action required for these meetings and events. Also, assist in drafting reports that act as documentation after each event, when needed;
- Participate in the organization of activities by compiling materials and assisting in the logistical coordination of related events, conferences, and workshops;
- Assist in the maintenance of program support coordination tools including online platforms for knowledge exchange and information consolidation;
- Assist in regularly updating stakeholder lists, project updates, and other “living documents”;
- Provide support in translating documents and communication products; 7. Perform any other tasks that may be assigned by the supervisor.
Training components and learning elements
- Opportunity to participate in IOM events across projects and develop a foundational understanding of IOM’s activities and mission at the global, regional, and national levels;
- Strengthen communications skills relevant to international development. 3. Obtain extensive knowledge on migration issues in Tunisia and across the region through meetings, workshops, and conferences.
Desirable Qualifications and Experience:
- Have graduated with a university degree or other higher education certification in data engineering, migration studies, political science, international affairs, development studies, statistics, journalism, media, or a related discipline, and have graduated with a university degree, and, if selected must commence the internship within one year of graduation.
- Experience in research quantitative data analysis;
- Experience in a general administrative role;
- Experience in preparing reports, logistics for event organization, and coordination activities.
Skills :
- Knowledge of international development and migration concepts;
- Expert knowledge in MS Office;
- Ability to use Canva, Photoshop, Publisher, Visio and/or other graphics software including Adobe InDesign (desirable);
- Ability to work independently in a multi-task and multi-deadline environment; • Excellent organizational and prioritization skills, setting goals and timelines; • Familiarity with Tunisia, the North Africa region, and the African Continent (desirable);
Ability to work effectively and harmoniously in a team of colleagues of varied cultural and professional backgrounds.
Languages:
• Full fluency in written and spoken French Arabic and English.
