Title: Logistics Assistant

Length of Assignment: Long-Term

Reports to: Logistics Coordinator

 

BACKGROUND

The purpose of the USAID-funded Jobs, Opportunities & Business Success project (JOBS) is to create jobs in Tunisia on a sustainable basis by (1) providing targeted assistance to Tunisian businesses, especially SMEs, to expand their sales and/or exports enabling them to expand and hire additional workers; (2) enhance work force development by reducing the education/training gap between what the university and vocational training systems provide and the actual needs of Tunisian businesses; (3) promote a more effective business enabling environment by working with the public and private sectors to promote policy and regulatory reforms; and, (4) communicate to Tunisians, especially youth, a sense of the importance of market-led economic growth and entrepreneurship, as well as vocational education as an apt career choice.

JOBS also aspires to have project stakeholders and Tunisians at large understand and be aware of USAID’s contribution to these objectives through the JOBS project.

JOBS has a fleet of 8-11 drivers with frequent movements within Grand Tunis and travel, including overnight lodging, into the regions. With a team of 30 business advisors and numerous other technical and operational staff requiring frequent travel, the project needs a dedicated point of contact for making travel arrangements, liaising with drivers and the rest of the staff.

POSITION DESCRIPTION

The Logistics Assistant will support a variety of logistics support duties for all project in Tunis and the regions, logistics related functions, including drivers and vehicle management. with guidance from the logistics coordinator.

DETAILED RESPONSIBILITIES

  • Supports day to day Tunis and regional offices’ logistics, including but not limited to drivers daily dispatching, fuel management, arrange all project transport needs…
  • Assist in activities related to the management of a team of at least 11 drivers, follows up with their logistics’ needs (fuel, vehicles’ accessories) and the maintenance state of the project’s vehicles.
  • Support the maintain and the follow up a dashboard to monitor the management and use of vehicles
  • Assist in the management of the relationship with the company in charge of vehicle lease
  • Support the Logistic coordinator to follows up the drivers’ monthly per-diem and overtime
  • Assist with data entry and record management for drivers’ monthly logbooks before submitting them to the Finance team.
  • Responds to the daily logistics’ requests either by responding to the emails’ requests within Grand Tunis or by following up with the Travel Authorization Requests for regional travel
  • Assist in processing financial requests-payment requests, lease car payment, fuel company, taxi etc.
  • Assist in responding to the logistics needs and requests of the regional offices.
  • Support the logistic coordinator to ensure logistics related needs for consultants and expats.
  • Support the logistic coordinator to ensure logistics related needs for project’s events either in Tunis or in the regions.
  • Other duties as required.

LEVEL OF EFFORT AND PERIOD OF PER FORMANCE

This position is long-term, on a full-time basis.

LOCATION OF THE ASSIGNMENT

The assignment will be in Tunis.

SUPERVISION AND REPORTING

The Logistics Assistant will report to the Logistics Coordinator.

Critères d'éligibilité

  • At least 3 years of professional experience. Progressively responsible experience in administration, operations, logistics or related field preferred
  • Bachelor’s degree (or equivalent) in related field of study
  • Excellent verbal and written communication skills
  • Highly computer literate with advanced e-mail, word processing and spreadsheet management skills
  • Excellent interpersonal and organizational skills.
  • Experience with USAID projects preferred. Experience with international donor-funded projects also an advantage
  • Oral and written fluency in English. French and Arabic experience preferred
