Voluntas is an international advisory firm which provides fact-based policy options and recommendations based on extensive research and analysis in fragile and conflict-affected regions. Logistics Officer
The Logistics Officer will organize and support office administration and procedures in order to ensure organizational effectiveness, efficiency, and safety. The Logistics Officer is responsible for developing intra-office communication protocols, streamlining administrative procedures, and inventory control.
Voluntas is looking for an energetic professional who enjoys wearing multiple hats. Experienced in handling a wide range of administrative duties and executive support-related tasks and able to work independently with little or no supervision. Your Responsibilities
Purchase / Maintenance / Administration
- Organize and streamline office operations and procedures to enhance efficiency. This includes developing and implementing office policies, setting up procedures and standards, and monitoring adherence to them.
- Ensure office equipment is functioning properly and look for solutions for any equipment-related needs.
- Establish and maintain relationships with vendors and service providers. Negotiate prices with vendors for office supplies, services, and equipment. Ensure proper documentation and support the recording in collaboration with Finance department.
- Plan and execute equipment procurement, office layout designs, and office systems to maximize efficiency.
- Maintain a safe, secure, and pleasant work environment by implementing and monitoring safety protocols and ensuring compliance with security procedures.
- Actively participate in the planning and execution of company events, such as conferences, seminars, or team-building activities.
- Take charge of managing office maintenance, handling incoming and outgoing mail, overseeing shipping and receiving processes, and managing office supplies inventory.
- Continuously seek opportunities to enhance operational procedures, improve office policies, and promote activities that increase efficiency and productivity.
- Provide general support and assistance to visitors, including greeting guests, coordinating meetings, and ensuring their needs are met during their time in the office.
- Providing administrative support and input to internal strategic processes
IT
- Provide basic IT support to office staff, such as assisting with troubleshooting computer issues, software installations, and resolving connectivity problems.
- Collaborate with management to ensure that the office has the necessary technology infrastructure in place.
- Collaborate with management to identify and procure necessary IT equipment and services for the office.
Human potential
- Assisting the Voluntas HR function by keeping personnel records up to date, arranging interviews and so on.
- Partner with HR to maintain office policies as necessary
Main Competencies
- Proven office management, general services, or assistant experience with 2 to 3 years of relevant experience from a top-tier consultancy, international organization or equivalent
- BA in Management or relevant fields
- Good understanding of office management responsibilities, systems, and procedures
- Well organized and excellent time management skills
- Good understanding of IT within office level
- Knowledge of data, and administrative management practices and procedures
- Knowledge and interest of human resources management practices and procedures
- Excellent knowledge of Microsoft Office suite (Word, PowerPoint, Excel)
- Ability to multitask and prioritize work
- Attention to detail and problem-solving skills
- Results-oriented mindset
- High level of personal initiative, accountability, and a strong work ethic
- Excellent communication skills, including written and spoken English, French and Arabic
