Organizational Context and Scope:

Established in 1951, IOM is a Related Organization of the United Nations, and as the leading UN organization in the field of migration works closely with governmental, intergovernmental and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants.

“Regional Development and Protection Programme North Africa – Development Pillar” (RDPP NA DEV)

The project targets five countries (Algeria, Egypt, Libya, Morocco and Tunisia). The first phase of the project started in February 2016 and will end in 2019 while the second phase of the project started in January 2019 and will end in 2021. RDPP NA DEV aims at strengthening the resilience of migrants together with their host communities.

Under the direct supervision of the Senior Project Manager, the Project Logistics Assistant will be responsible for providing effective and efficient administrative support to the Project, in collaboration with finance, logistics and procurement, HR and administration teams of the Mission.

Core Functions / Responsibilities:

The successful candidate will assume the functions and the following responsibilities:

  • Contribute to the smooth daily running of all administrative functions in a timely fashion, and in accordance with the Mission’s regulations and procedures;
  • Contribute to team efforts, by accomplishing results in a proactive manner;
  • Handle sensitive information in a confidential manner;
  • Draft official correspondence (letters, Notes Verbales, faxes) and dispatch official correspondence to Government, partners, other IOM offices are dispatched on time and effectively;
  • Follow-up on documents (including purchase requests, purchase orders, payroll, requests for payments, vouchers, HR forms) and correspondence for the signature of the Senior Project Manager, and liaise with IOM staff as needed;
  • Assist in creating and maintaining a proper documentation and systematic tracking and filing systems of the Project administrative documents including the maintenance of the classification system (Hard/Soft copies) and databases of the relevant documents of RDPP NA DEV, INCORPORA and the circular migration projects;
  • Deal with the logistics related to the organization of events;
  • Assist with informal translation of letters and short documents from Arabic to French/English and/or vice versa, as needed;
  • Take accurate minutes of meetings;
  • Perform administrative tasks for the Senior Regional Project Manager, including planning of meetings, retention of schedules and calendars, management of phone calls intended for the Project Manager, registering messages and provide logistic support as needed;
  • Arrange the Senior Regional Project Manager and Project staff duty travels including the preparation of the Travel authorizations; assure that security clearances are requested and received; book hotels and transport and prepare and submit to finance travel claims and follow up about their payment;
  • Ensure operation of equipment and maintain projects supplies inventories;
  • Perform other related duties as may be assigned by Senior Project Manager.

  • Bachelor’s or Equivalent or Higher degree preferably in Business Administration or other similar domain from an accredited academic institution with two (2) years of relevant professional experience; or High School Degree/Certificate degree in the above fields with four (4) years of relevant professional experience;
  • Experience in administration and technical assistance to executives an asset;
  • Strong organizational and planning skills;
  • Excellent time management skills;
  • Excellent verbal and written communication skills in all three (Arabic, Frensh and English) languages;
  • Attention to details and problem-solving skills;
  • Experience working with government counterparts, private sector, international organizations and/or non-governmental organizations (NGO) is an asset;
  • Capacity to work effectively and harmoniously within a team of colleagues from varied cultures and professional backgrounds;
  • Experience with Microsoft Office products: Outlook, Word, Excel and PowerPoint; experience in handling web-based management system.
  • Fluency in French, English and Arabic;
