Context:
Under the direct supervision of the Operations Officer and the overall supervision of the Senior Operations Officer, the incumbent will support the implementation of AVRR operations in compliance with IOM established procedures to ensure orderly and timely movements and reintegration of returnees in their countries of return.
Core Functions / Responsibilities:
- Provide specialized assistance in the implementation of the projects in a timely manner, collaborating constructively with Project Manager in carrying out all its financial, administrative and technical aspects, in line with IOM’s policies and procedures, as well as donor requirements.
- Support the implementation of the different return project activities and periodically assess and revise strategy with the Project Manager; assist in identifying and analyzing issues and initiating follow up actions
- Prepare regular progress reports to be submitted to donors and Headquarters.
- Support the Operations Officer with the preparation of regular project narratives, concept notes, minutes of meetings and project reports, according to IOM and donor formats as required, and update regularly and report to donors covering all IOM activities.
- Collaborate with the communication and visibility actions of the different return projects.
- Apply specialized knowledge of logistics and procurement to timely source goods and services.
- Keep track and ensure that the information collected in the interviews is correctly and accurately entered into IOM movement database.
- Liaise with relevant IOM offices and other counterparts (Local partners, DRC, IMC, UNHCR, LRC, ICRC, Embassies, and Consulates) about referrals, departure schedules, ground transportation of migrants between processing sites for the purpose of return activities.
- Ensure that “general status report” as well as all files related to operational activities are updated.
- Keep updated Pro-flight file, ensuring that all necessary documents are requested and included in the file including exit permits, correspondence with airlines, receiving missions and other related parties.
