Background information/Organizational:

Context :

The Programme Management Assistant would normally receive guidance from more senior programme staff in the operation/bureau/division. The incumbent may receive indirect guidance from other sections and units relevant to the country/region programme(s). UNHCR Manual, Operations Plans, UN and UNHCR financial/budgetary rules and regulations will guide the work of the Senior Program Assistant.

S/he is expected to have contacts within the organization and outside the duty station, as well as with partners and other stakeholders to collect information, monitor programme activities and implement administrative requirements. The incumbent is expected to work in line with the multi-functional team (MFT) approach as defined within the Program Manual, ensuring the participation of relevant stakeholders in all phases of the Program Management Cycle.

Duties and Responsibilities:

  • Provide administrative assistance and support in routine services and activities within Programme thus better able to meet the needs of persons of concern.
  • Actively contribute to UNHCRs programming of community of practice and continuously contributing to improvements of programming tools and processes.
  • Provide support to the management of the Programme Unit;
  • Develop and update the project monitoring plans and monitor the indicators of the projects
  • Responsible for data collection, compilation, and analysis
  • Conduct regular field visits to support partners in use of monitoring tools
  • Provide feedback to the senior programme staff on project activities and overall progress on achievement of results
  • Perform other related duties as required

Minimum qualifications required:

  • Educational background in International Relations, Social Sciences, Business Administration, Economy or other related area;
  • Previous relevant work experience is an asset;
  • Proactiveness, flexibility and adaptability to deal with people from culturally diverse backgrounds;
  • Ability to work under pressure and to manage stress efficiently;
  • Fluency in French and English (oral and written).
  • Computer skills (office package and Internet).

What the intern will learn

  • Completion of UNHCR Learning Programmes or specific training relevant to function of the position including Programme Management Level 1. E-tutoring of PM1, Framework for Implementing with Partners Learning Programme. Experience in programme management training and capacity building activities.

Conditions:

  • Supervision: The intern will report directly to the Program Officer sitting in the Tunisia Country Office.
  • Duration and work hours:The internship is expected to begin as soon as possible and will last for a period of 3 months. The role is full time (40 hours per week). Working hours are 7.30 – 8.30 am to 4.30 – 5.30 pm, Monday to Friday.
  • Security: Soon after taking office, the intern will be required to complete mandatory online security trainings. Interns are covered under the United Nations Security Management System (UNSMS) and must comply with all security policies and procedures.
  • Food and transportation allowance: UNHCR will provide interns who do not receive financial support from an outside party a Food and Local Transportation Allowance, which will be the equivalent of 10% of the Daily Subsistence Allowance (DSA) of the duty station and be based on 30 calendar days.
  • Absences: UNHCR interns shall accumulate 1.5 leave days per months of continuous service and may take leave following the agreement of the supervisor.

Eligibility:

In order to be considered for an internship, candidates must meet the following eligibility criteria:

  • Recent graduate (those persons who completed their studies within one year of applying) or current student in a graduate/undergraduate school programme from auniversity or higher education facility accredited by UNESCO; and
  • Have completed at least two years of undergraduate studies in a field relevant or of interest to the work of the Organization.

An individual whose father, mother, son, daughter, brother or sister is a staff member of UNHCR, including a Temporary Appointment holder or a member of the Affiliate Workforce, is not eligible for an internship.
