Context:
Under the overall supervision of the Senior Operations Officer and the direct supervision of Community Stabilization Program Manager in Tunis, Tunisia, and in close coordination with other relevant units of the programme, the Senior Project Assistant will provide support to project preparation, implementation, documentation, organization, and coordination with other units in Tunis and with field teams, including planning meetings and events. In particular the incumbent will be responsible for the following tasks:
Core Functions / Responsibilities:
- Serve as liaison support to track all relevant supporting documents from the field-based Program Assistants, Project Operations Officer, National Operations Assistants, Logistics/Procurement Unit, Finance Unit, and provide support to the Program Office in particular with the collection of necessary data/documents;
- Communicate and coordinate closely with the PM to monitor missing documents, and follow up on status of pending documents;
- Plan, organize and document preparation for meetings, trainings and other events;
- Draft program documents, letters, reports and other products as required.
- Contribute to planning and generation of project activity ideas.
- Assist with informal translations of documents, information, and data from and for the CS team into English and Arabic as necessary and as requested;
- Coordinate and provide guidance and oversight to Field Operations Assistants on preparation for and implementation of activities.
- In coordination with Project Ops Officer and other field staff, track success stories, delays, and implementation progress updates for all ongoing activities; maintain CS unit tracking systems.
- Organize photos incoming from the Project Ops Officer and other field staff and gather all necessary details to ensure photos are appropriately labelled before sending to PM or Communications team;
- Perform such other duties as may be assigned by supervisors.
- Undertake any other duties within the incumbent’s capabilities that might be assigned by the RMO and Procurement Officer.
