Established in 1951, IOM is the leading inter-governmental organization in the field of migration and works closely with governmental, intergovernmental and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all. It does so by providing services and advice to governments and migrants.
Context:
Under the direct supervision of the Operations Officer and the overall supervision of the Senior Operations Officer, the incumbent will support the implementation of AVRR operations in compliance with IOM established procedures to facilitate orderly and timely movements and reintegration of returnees in their countries of return.
Core Functions / Responsibilities:
- Verifies that MiMOSA is accurate vis-à-vis registration, case and movement modules.
- Ensures that all pre-departure work and post-departure work is completed (i.e. MiMOSA entries, Amadeus bookings, ABNs distribution, IGATOR, Customs Forms, Ticketing, Departure notification) according to projects’ and IOM guidelines.
- Monitor that routing is made as efficient as possible taking into consideration PoEs, Cross-References, Medical Escort needs and final destinations.
- Maintains working relationship with receiving missions, providing flight information and responding to inquiries.
- Book travel and issue tickets in a timely manner, verifies information printed on tickets and makes photocopies as needed.
- Keeps statistics of all departures from Libya updated for reporting purposes and share all statistics to the reporting officer on a regular basis.
- Coordinates staff travel needs as assigned, including TAs and any required information for travel booking for non IOM staff.
- Verifies migrants’ documents identity as necessary.
- Receives, registers travel documents of migrants and makes entries into IOM data base/Mimosa, as required per SOPs.
- Tracks travel documents expiration deadlines, and check schedules in AMADEUS as required.
- Communicates with the airlines on proflight related issues, name lists, booking details, domestic bookings, additions, deletions, refunds.
- Liaises with relevant IOM offices and other counterparts (RSC, UNHCR, ICRC, embassies) about departure schedules, ground transportation of migrants between processing sites for the purpose of resettlement.
- Follows up with IOM departments and other IOM offices regarding costs of movements.
- Keeps the proflight file updated, ensuring that all necessary documents are requested and included in the file including exit permits, correspondence with airlines, receiving missions and other related parties.
- Performs any other duties that may be assigned.
- Undertake any other duties within the incumbent’s capabilities that might be assigned by the RMO and Procurement Officer.
