International Media Support (IMS) is seeking an administrative and financial assistant to join its newly established Tunisia office

 

IMS is a non-profit organisation working to support media in countries affected by armed conflict, human insecurity and political transition. Across four continents, IMS helps to strengthen professional journalism and ensure that media can operate in challenging circumstances.

IMS has been engaged with Tunisian media and civil society partners since 2004. In the context of democratic transition, IMS’ engagement has evolved into a comprehensive, long-term programme, flexible to context, which promotes notably the following objectives:

  • Strategic development of media infrastructure and key institutions that can forge new improved standards for media freedom, professionalism and media pluralism;
  • Strategic collaboration within the media sector to effectively advocate for and influence media reform processes in Tunisia;
  • Strengthen professional standards of journalism and related ethics in traditional and emerging media through partnerships.

The administrative and financial assistant will be part of a small national team, and report directly to the Tunisia Programme Coordinator. He/she will be responsible for the day-to-day tasks of running a small office and for coaching partners on IMS financial reporting requirements. The IMS office in Tunisia is responsible for project follow-up and for providing regular support and capacity building to IMS partners. The Tunis office is part of the Middle East and North Africa department at IMS’ headquarters in Copenhagen.

Main responsibilities

Financial administration

  • Create, develop and maintain financial records including spreadsheets, regular financial reports, department logs and other relevant documentation;
  • Work closely with the designated Financial Controller and other relevant staff in Copenhagen to ensure smooth operation of all finance matters;
  • Perform control and compliance checks of financial accounts, budgets and external audited reports from IMS partners;
  • Prepare accounts and control documentation for monthly and annual external audits of the Tunis office and the annual audit of IMS;
  • Undertake other duties such as banking;
  • Answer auditing and finance-related queries.

Office administration

  • Responsible for the day to day management of the office;
  • Create and maintain an up-to-date filing system for all staff and office related documentation, inventories, contacts and other relevant information;
  • Maintain contact databases with current and accurate information on vendors, contractors, and partners;
  • Draft and maintain records for partners contracts as per IMS guidelines;
  • Provide logistical support for visits by IMS staff, consultants or partners including making travel arrangements and booking accommodation;
  • Manage appointments, set up meetings and take minutes;
  • Assist with the preparation and follow-up of IMS events and activities;
  • Assure that the necessary space, equipment, supplies and policies are in place so as to maintain an effective programme operation;
  • Manage stationary and pantry items;
  • Other tasks as assigned by Programme Coordinator.

Support to partners

  • Provide assistance to partners on financial reporting processes;
  • Coach partners on financial management according to IMS financial reporting requirements;
  • Contribute to monitoring and evaluation of partners’ performance;
  • Develop own tools for partners’ coaching on financial reporting;
  • Other duties deemed appropriate to perform this role.

Duration and location

The Administrative and Financial Assistant will be based in the IMS office in Tunis, and refer to the Tunisia Programme Coordinator while working closely with the MENA Department in Copenhagen. This is a full time position. Compensation commensurate with experience and IMS policies.

Critères d'éligibilité

  • Relevant academic degree, e.g. Master of Science in Economics and Business Administration (Cand.Merc.), a Master’s degree in Economics (Cand.Oecon.), a Graduate Certificate in Accounting (HD) or other equivalent international qualifications; ; ; ;
  • Minimum five years of proven experience in accounting and controlling, preferably involving aid management of several projects/programmes
  • Experienced user of Microsoft Office, in particular of Microsoft Excel
  • Excellent skills in written and spoken Arabic, French and English
  • Experience in using accounting systems is an asset;
  • Previous NGO experience and a general understanding of the NGO sector is an asset
  • Good understanding of accounting processes and procedures
  • Good organisational skills used in planning own work
  • Excellent verbal and written communication skills
  • Self-motivated and enthusiastic
  • Ability to work under pressure and meet targets and deadlines
  • Analytical, responsible, with great attention to details
  • Ability to solve tasks independently and as part of a team
  • Ability to work methodically, accurately and neatly
  • Discreet with high levels of integrity
  • A certain level of flexibility regarding availability outside normal working hours is required to attend work-related events
