DIVISION/ PURPOSE: Through capacity building and through technical and programme support, the International Programme Division keeps the organisation focused on the socio-economic and humanitarian needs of vulnerable people.
The division reinforces IR’s implementing structure to enable these people and their communities to develop themselves sustainably and ensures that the organisation is prepared to respond promptly and effectively to humanitarian crises.
The division increases the organisation’s ability to tackle poverty by developing and fostering partnerships and institutional relationships effectively and proactively, and by ensuring transparent and timely reporting to the organisation’s donors. DEPARTMENT / PURPOSE:
IRW strategically manages disaster preparedness and risk reduction to ensure suffering is either avoided or reduced in the event of emergencies and disasters.
JOB PURPOSE:
To provide admin & secretarial support to the Support Co-Ordinator as well as the department staff. To be responsible for updating staff records, monitor attendance, filing and payroll update. KEY ROLES/RESPONSIBILITIES
• To perform admin and secretarial duties as and when needed including typing, filing and hotel and travel bookings.
• To work closely with all departments on admin work, attendance, uniforms, and other duties.
• To manage the admin workload of staff recruitment within the organisation: this includes preparing advertisements, advertising, updating different recruiting departments, preparing for interviews, take all correspondences with applicants and keep all confidential information in a safe place.
• Maintaining all personnel records and file relating to staff in a confidential and secure manner.
• Any other reasonable duties assigned by your line manager. PERSON SPECIFICATION:
ESSENTIAL
Must be eligible to live and work in Tunisia.
Administration experience
Experience of successfully managing workload, prioritising tasks and allocating time to different activities.
Able to demonstrate experience of providing a wide range of secretarial personnel support and admin services to a high standard
Ability to prioritise workload, implement and meet targets in a pressurised environment whilst producing accurate work with minimum support
Experience of undertaking a range of tasks requiring a high degree of confidentiality, discretion and sensitivity
Experience of working independently and on own initiative
DESIRABLE
HR experience / Experience of working within the charity sector
Basic understanding of current service developments and HR issues in the sector
Basic knowledge of employment law.
Ability to advise staff on HR matters
Knowledge of different filing systems and techniques
Working Knowledge of Databases
Well developed IT skills and knowledge of Microsoft office in particular Microsoft Word & Excel
Ability to work well with minimum supervision
