Job Purpose

To manage, arrange, organise, transport, distribute and coordinate storage of all types of charitable goods and marketing materials for the charity and to maintain stock levels at all times

Arrange collections of various items, equipment, funds and other goods from businesses, mosques and institutions from different locations for the charity.

To manage and maintain the use of the charities vehicles(s)

To manage, transport and set up the AV equipment at different locations for the charities events and activities.

Key Responsibility

Include but not limited to:

  • Oversee all aspects of Human Appeal store including access, stock control systems and paperwork, ensuring that stock is held for rapid fulfilment of requests
  • Closely monitor and maintain stock level in store room and manage its organisation throughout the year
  • Provide report on stock levels and create priority lists for all items, equipment and goods
  • Update a comprehensive computerized stock list in the store room and regularly monitor and update the list
  • Coordinate the maintenance of the office and oversee the necessary certification including gas and electricity
  • Complete and update all necessary documentation forms for dispatching items, equipment and materials for the safe return
  • Report back to line manager on stocks, equipment and other goods.
  • Collect international shipments, and liaises with appropriate/relevant authorities for tax exemptions, port clearances, etc.
  • Organizes logistics in terms of transport requirements, handling, storage and distribution of charitable goods and marketing and promotional materials and establishing proper warehousing and recording systems for all organisational assets
  • Allocating and managing staff resources according to changing needs
  • Arrange all goods, items, equipments and materials in the store room in a organized and efficient manger, including labeling stock for easy access
  • Providing report on stock in and out

Collections

  • To manage and arrange collection of any goods and items from various locations for the charity and the charity shop
  • To arrange collection of funds from businesses, Mosques and other institutions
  • To transport and arrange collection of equipment and materials to and from events and activities at different locations
  • To arrange collections of charitable goods and items (that might be donated to the charity) from different locations

Managing HAI Vehicles

  • Manage the use of Human Appeal Vehicle(s), including arranging & scheduling servicing, MOT and other repair as and when require/necessary
  • Ensuring the security of the vehicles when not in use

Office & Building Maintenance

  • Carry out monthly office maintenance inspection to identify any maintenance work that might be required
  • Record any work that needs to be carried out
  • Arranging any work that might be required to carry out in the office and building
  • Carrying out weekly fire alarm test

General

  • Must adhere to the charities policies and procedures, e.g. Health & Safety at Work, Freedom of Information Act 2000, Data Protection Act 1998, Equal Opportunities, Company Handbook, Quality Management System, Investor in People etc. at all times
  • Will respect the confidentiality of all matters relating to their employment and other members of staff
  • To demonstrate on-going professional development through reflective practice and participation in internal and external development opportunities as evidenced in a Continuing Professional Development portfolio.
  • To participate in the appraisal process and ensure that agreed objectives are achieved, taking responsibility for directing own learning and development activities (e.g. private study, e-learning)
  • To attend and contribute positively to meetings, conferences and training courses as agreed with the line manager
  • Establish and maintain effective working relationships with co-workers, supervisors, managers, directors and the general public.
  • Assist staff in other departments and regions as required in order to facilitate the work of the charity
  • Other duties as per the request of the Director of Programme in the interest of the organisation objectives

Critères d'éligibilité

  • Degree in management, transport and logistics (Desirable)
  • Minimum 2 years experience in a combination of transportation/store and warehouse management /freight and procurement
  • Manage stock control, advising stock requirement and managing stock list
  • Receiving, managing and transporting goods
  • Negotiating skills
  • Ability to work with computers
  • Relevant vocational training (vehicle maintenance, first aid)
  • Full Clean Driving Licence
  • Excellent communication skills
  • Excellent organisational skills
  • Team player
  • Initiative taker
  • Good attention to detail
  • Ability to work under pressure
  • Ability to work with minimal supervision
  • High degree of personal organisation
