Position title: HR & OFFICE Junior Officer

Reports to: WWF NA P&C Regional Manager

Supervises: None

Grade: Professionnal ( P1)

Mission of the Department:


WWF is one of the largest biodiversity conservation organizations in the world; its mission is to halt the degradation of the planet’s natural environment and build a future in which humans live in harmony with nature.

WWF has started operating in Tunisia since 1994 and is currently present with offices established both in Tunisia (WWF Mediterranean North Africa or WWF NA) and in Morocco and
implements WWF’s conservation programme throughout the North African region to safeguard natural environments and the species that live there, promote sustainable lifestyles, train decision-makers, support citizens in their efforts to reduce their ecological footprint and contribute to the environmental education of young people.

  • Major Functions: 

The HR and Office Junior Officer provides support and assistance to ensure proper logistic and HR administrative functioning of WWF NA office.

Major Duties and Responsibilities: 

Office :

  • Administrate contracts for office rent and keep track of general facilities (water, electricity, telephone, mobiles, internet, cleaning, insurance, maintenance etc.) including processing payments
  • Purchase eco-friendly office supplies (office stationary, etc.)
  • Give “green office” guidance to all staff (recycling, energy efficiency, etc.)
  • Preparation of meetings in the office (Booking of the meeting room…)
  •  Send postal mail and update the mail database (notebooks)
  • Welcome visitors and receive deliveries
  • Ensure the management of the office supplies stock
  • Ensure that all assets are tagged and registered in the asset register. Update asset register with changes and new acquisitions.
  • Coordinate with local IT Systems Providers to ensure equipment’s check and General IT maintenance as per needs outlined by staffs. 
  • Maintain the Vehicule Tracker booking up to date as per the request of the staff
  • Maintain all necessary master agreement 

 

Human Ressources :

  • Maintain personnel files archiving for staff 
  • Prepare all HR Administrative documents  
  • Dispatch monthly pays slips
  • Collect Health insurance request from the staff and liaise with the insurance company 
  • Maintain a tracking system for all types of leave of all employees ; 
  • Maintain up-to-date the HR data base with all necessary information.
  • Responsible for HRIS Data entry and documents upload
  • Prepare and deliver business card for staff 

Profile:

Required Qualifications: 

  • Knowledge:

High school diploma (HR, administration, or similar);

Experience:

  • Minimum 3 years of active office management/administration experience

  • Required Skills and Competencies: 

Skills:

  • Excellent communication and organsation skills
  • Fluency in French & English 
  • Excellent computer skills (Word, Excel, Outlook, Internet, other software is an advantage),

Working Relationships:

Internal 

Works closely and effectively with the Supervisor, and the WWF NA staff in all Unit . Liases in general with the other staff in the NA office Tunis . 

External 

 Liases with external providers connected with the management of the WWF NA office infrastructure (office premises and related utilities), logistics (e.g. purchase of material, maintanance), staff travel and meetings (e.g travel agencies , hotels , conference rooms).

 

This Position Description covers the main tasks and conveys the spirit of the sort of tasks that are anticipated proactively from staff. Other tasks may be assigned by the Supervisor as necessary according to organizational needs.
