The British Embassy in Rome is part of a world-wide network, representing British political, economic and consular interests overseas and is now looking for a motivated Corporate Services Officer: Estates.

Main Roles and Responsibilities:

  • To supervise the maintenance programme for all office and residential properties within the Rome/Holy See portfolio. Working closely with the Estates Assistant who is the first point of contact for requests, to ensure all requests are logged, planned and actioned. Follow up/confirmation with customer as required to ensure quality control, value for money and Health & Safety standards are met;
  • As main point of contact, to lead on planned maintenance programmes, liaising with both Residence Managers (or HMAs) to identify, cost and plan proactive works;
  • To work with the Estates Manager on Estates related aspects of the FCO Health & Safety framework (PCA) to ensure compliance. Work with H&S consultant and FCO Technical Works Officer on assessment visits;
  • To purchase goods and services for Estates requirements, via purchase order processes or using a credit card. To account for and record relevant expenditure and keep appropriate spreadsheets up-to-date;
  • Line manage two A1 Assistants that are in part-time. To deputise for the Estates Manager in his absence;
  • As a Corporate Services team member, to provide assistance and cover when necessary to colleagues;
  • Corporate/crisis role: To hold a role within the crisis team and involvement in an activity/objective which contributes to the wider corporate agenda;
  • To enter and update Estates related data on Pyramid system

Other benefits and conditions of employment  

This is a full-time temporary position with a contract of one year, graded at A2 as per the FCO grading structure. The contract will be reviewed towards the end of the term with a possibility of extending for an additional 12 months.The monthly gross salary is Euro 2.213. The salary is paid monthly 14 times per year including € 10.33 EDR paid 13 times per year.Working hours are 35 hrs per week Monday to Friday. Some degree of flexibility is expected.Confirmation of the job is subject to a four month probation and the successful completion of a security clearance and references check process.All staff employed by the British Embassy in Rome are subject to Italian income tax rate deductions (IRPEF). However the administration of these tax payments will vary depending on nationality.The successful candidate will be enrolled in the Italian State Social Security Scheme.Staff recruited locally by the British Embassy in Rome are subject to terms and conditions of service according to local Italian employment law.Visa/passport requirements: Must currently hold the independent right to live and work in Italy and be prepared to ensure that right remains throughout the scope of the contract.

 

Critères d'éligibilité

  • At least 2 years of proven experience of customer service delivery and dealing with a range of customers;
  • Attention to detail, analytical and problem solving skills;
  • Excellent IT skills (Microsoft Windows and MS Office);
  • Fluent written and spoken English and Italian – C1 level or above under the Common European Framework or equivalent;
  • Knowledge and understanding of building/maintenance issues and processes;
  • Self-starter, able to work independently, prioritise workload, seeking guidance when needed;
  • Practical, sensible can-do approach;
  • Team player.
  • Knowledge of FCO structure and policies and procurement and financial guidelines is desirable;
  • Experience of working in an environment dealing with building/maintenance works; Desirable
