Job Title: Executive Assistant

Project: Tunisia Resilience and Community Empowerment (Ma3an)

 BASIC FUNCTION OF POSITION:

The Executive Assistant will work closely between Ma3an project COP and our partner’s project coordinator and will report daily to the later.  He/she will be responsible for performing all administrative and logistics needs pertaining to Ma3an. The ideal candidate is self-motivated, Fluent in English and Arabic, professional, and capable of managing their work load and prioritizing tasks in a fast-paced environment.

PRIMARY RESPONSIBILITIES:

  • Performs office administration functions such as setting up files, maintaining calendars, coordinating meeting times, sending invitations out and keeping track of responses, creating and distributing meetings agendas, taking minutes during meetings and distributing them to attendees as appropriate, etc.
  • Organize, coordinate and monitor the various meetings of the respective concerned people; Ma3an COP and the partner’s Project Coordinator and their working groups in order to carry out the work with the necessary discretion and punctuality.
  • As a contact person, act as a source of information for opinions / decisions and matters to ensure, by exchanges of explanations with the concerned people, that the information are correctly interpreted, to circulate the information correctly in the necessary services among the parties concerned and at the request of third parties (persons who are not directly involved in the meetings) or outsiders, if the information is public.
  • Welcomes guests and partners and answering or directing inquiries;
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions;
  • In case of regional visits, coordinate between the parties concerned (Officials, Ma3an COP and partners)

Critères d'éligibilité

  • A minimum of three years’ experience in project management or any related
  • Ability to do frequent field visits
  • Excellent writing and speaking skills in academic Arabic and English
  • A previous experience in a youth related project is preferred
  • A previous experience within public administrative sectors is preferred
  • Degree in a relevant field for the job function
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Strong organizational skills with the ability to multi-task
  • Proficiency in MS Office computer programs
  • Handle sensitive information in a confidential manner
  • Develop and update administrative systems to make them more efficient
  • Schedule and coordinate meetings and appointments
