Preparing Cures Simulation Center Closing Ceremony

  • Project Background:

What is Cures project?

The CURES project is funded by the U.S. Department of State, Bureau of Near Eastern Affairs Office of Assistance Coordination and implemented by FHI 360. 

FHI 360 is a nonprofit human development organization that operates in more than 70 countries and has the support of more than 4,500 employees.

The aim of this project is to improve scientific research in Tunisia to be able to better prevent and treat non-communicable diseases (NCDs) through the establishment of a simulation center that allows doctors, medical students, nurses, and health technicians to apply research and test new technologies and treatments. This project supports improvement to healthcare quality in Tunisia and strengthen the business climate to become more conducive to private sector-led growth.

What is Cures Simulation center?

The simulation center will provide trainings to improve and assess communication skills and the ability to integrate several competencies in lifelike clinical situations for medical students, nurses, and technicians from the health sector; team training on complex, rare, or dangerous medical situations, including clinical events and disaster scenarios; and technical skills training, which can be augmented for clinical, procedural, and haptic skills.

  • Overview of work:

The agency is requested to take charge of the organization of the closing ceremony and ad hoc event.

Date of the event: September 6th, 2024 (Confirmed)

Time of the event: from 9:00 to 12:00 am.

Location: Sfax Medical School

Number of guests: 150 people including media. 

Event coordinator: FHI 360 team

 

The agency mission will be:

  • Pre-event: Preparation for the event in collaboration with the project team.
  • Organizing the event for approx. 150 people (activities as described below).
  • Post-event activities (as described below).

Proposed agenda for the inauguration event as follows: 

  1. Welcome Guests
  2. Official speeches
  3. Simulation center tour for officials
  4. Celebration at the Amphitheater 
  5. Coffee break
  6. Media Pull aside
  7. Closing

 

  • Agency task details: 

Please attach photos for all articles

    • Organize a field visit to the simulation center in Sfax to take dimensions for all needed work and conduct and in-depth assessment of the space.
  • Define the theme of the ceremony in collaboration with the project team and based on the mission of the project, its objectives, and its audiences.
  • Collaborate with the technical team to accommodate the space to the mission of the ceremony.

Space arrangement: organize the Stage of the School of medicine Amphitheater to accommodate the event requirements (Fig1).

  • The space of the main event/official remarks:
  • Stainless steel separator posts 
  • 10 guest chairs
  • Podium (pupitre) 
  • Platform (estrade)
  • Decoration: Floral decoration as appropriate 
  • Background screen LED, dimension according to the space

  • The space for the coffee break:
  • 6 high cocktail tables for coffee breaks
  • Buffet space, trash bins
  • Decoration: as appropriate 
  • The space for the Media pull aside:
  • Customized Back wall, the agency will need to confirm the measurement for the back wall

 

Event management:

  • Desk Registration management (one desk): welcome guests, oversight the signing sheets.
  • Red carpet as appropriate.
  • The agency is requested to contract a moderator for the event, selected candidate by the agency needs to be approved by Communication team
  • Moderator SoW will be discussed with communication team.

 

Audiovisual management:

  • 3 wireless microphones, 3 wireless speakers, laptop
  • Videography / Photography Coverage: To discuss with communication team

 

Catering services/Coffee break:

  • Rich coffee breaks for 150 people (10 varied pieces per person; Sweet & Savory, fresh juice, coffee, milk, tea)
  • 250 bottles of water 0.5L

 

Printing materials:

  • Back wall (design will be provided by CURES branding specialist)

Human resources during the event:

  • 3 ushers
  • 1 Technical Assistant
  • 2 waiters

Cleaning services:

  • Provide cleaning services of the ceremony area, before and after the event.

 

  1. Work timeline
  • The Closing ceremony is scheduled For September 6th. 

All installation must be completed by 3 p.m. the day before the event.

 

  • Application:

The application file must include the following elements:

  • Technical offer: including detailed description of services requested and photos of all needed materials.
  • References of similar missions: experience in organizing National/International Events involving state/international official representatives with activities similar to those described in the scope of work. 
  • The financial offer.
  • Presentation of the agency.
  • Payment terms.
  • RNE/ company registration: FHI 360 only contracts with registered companies.

  • Selection criteria:
  • Technical offer: 40 pts
  • References of similar missions: 30 pts
  • Financial offer: 20 pts
  • Terms of payment: 10 points
