Preparing Cures Simulation Center for the inauguration Ceremony FHI 360

What is Cures project?
The CURES project is funded by the U.S. Department of State, Bureau of Near Eastern Affairs Office of Assistance Coordination and implemented by FHI 360.
FHI 360 is a nonprofit human development organization that operates in more than 70 countries and has the support of more than 4,500 employees.
The aim of this project is to improve scientific research in Tunisia to be able to better prevent and treat non-communicable diseases (NCDs) through the establishment of a simulation center that allows doctors, medical students, nurses, and health technicians to apply research and test new technologies and treatments. This project supports improvement to healthcare quality in Tunisia and strengthen the business climate to become more conducive to private sector-led growth.
What is Cures Simulation center?
The simulation center will provide trainings to improve and assess communication skills and the ability to integrate several competencies in lifelike clinical situations for medical students, nurses, and technicians from the health sector; team training on complex, rare, or dangerous medical situations, including clinical events and disaster scenarios; and technical skills training, which can be augmented for clinical, procedural, and haptic skills.
The agency is requested to take charge of the organization of the inauguration ceremony and ad hoc event.
Date of the event: Last week of April, First week of May (to be confirmed later on) Time of the event: from 8 a.m. until 5 p.m.
Location: Sfax Medical School
Number of guests: 150 people including media.
Event coordinator: FHI 360 team
The agency mission will be:
– Pre-event: Preparation for the event in collaboration with the project team. – Organizing the event for approx. 150 people (activities as described below). – Post-event activities (as described below).

– Organize a field visit to the simulation center in Sfax to take dimensions for all needed work and conduct and in-depth assessment of the space.
– Define the theme of the ceremony in collaboration with the project team and based on the mission of the project, its objectives, and its audiences.
– Collaborate with the technical team to accommodate the space to the mission of the ceremony.
Space arrangement: organize the open area into 3 spaces: one for the main event/official remarks, one for the networking/coffee break, and one for the press corner & photo booth.
– The space of the main event/official remarks:
➢ Coverage of the space by a modern reception marquee (tent) of sufficient size capable of accommodating 150 people.
➢ 150 comfortable conference chairs with medallion backrest in beige color.
➢ Stainless steel separator posts
➢ Podium (pupitre)
➢ Platform (estrade)
➢ Decoration: Floral decoration as appropriate

– The space for the networking/coffee break:
➢ 6 high cocktail tables for networking/coffee breaks
➢ Buffet space, trash bins
➢ Decoration: as appropriate
– The space for the photo booth:
➢ Arrange the space with a Stage Backdrop (design will be provided by CURES branding specialist) and a high-end DSLR camera, with customized Photobooth print frame (design will be provided by CURES branding team), 500 photos instant impressions, digital photo album at the end of the event, printer integrated into the photobooth (and not next to it), and photos printed on premium photo paper glossy.
➢ Provide 500 instantly printed photos and digital copies of all photos (500 and above)

Event management:
– Desk Registration management (two desks): welcome guests, oversight the signing sheets, provide badges and gifts to guests.
– Ribbon cutting supplies.
– Red carpet as appropriate.
Audiovisual management:
– 2 wireless microphones, 2 wireless speakers, projection screen, laptop
– Videography / Photography Coverage: TBD with communication team
Catering services/Coffee break:
– Rich coffee breaks for 250 people (10 varied pieces per person; Sweet & Savory, fresh juice, coffee, milk, tea)
– 250 bottles of water 0.5L
Printing materials:
– Stage Backdrop for the photo booth space (design will be provided by CURES branding specialist)
– Event signage: 2 outdoor flags (design will be provided by CURES branding specialist) – 200 badges
Human resources during the event:
– 3 ushers
– 1 Technical Assistant
– 2 waiters
Cleaning services:
– Provide cleaning services of the ceremony area, before and after the event.
– The inauguration ceremony is scheduled last week of April 2023 (exact date will be communicated later on).
All installation must be completed by 4 p.m. the day before the event.
The application file must include the following elements:
– Technical offer: including detailed description of services requested and photos of all needed materials.
– References of similar missions: experience in organizing National/International Events involving state/international official representatives with activities similar to those described in the scope of work.
– The financial offer.
– Presentation of the agency.
– Payment terms.
