Objective of Post
Under the overall supervision of the Head of Office and under the direct supervision of the Logistics Manager the incumbent will be responsible for providing a safe, efficient and effective service to all AAH staff and official visitors when required. This includes professional and safe driver services, efficient messenger and basic administrative support. The driver must be discreet, courteous and have strong customer skills. The driver is also responsible for overseeing all vehicle maintenance ensuring that any issues with vehicles are reported immediately.
Objective 1 : Transport / Driving
Responsible for the following activities:
- Provide safe and punctual driving services to VIPs, staff and official visitors to appointments, functions and airports during office hours and out of office hours as necessary.
- Follow the rules and regulations of driving AAH vehicles at all times
- Facilitate airport pickups for VIP visitors and transportation during official / VIP visits and follow pre-agreed programme.
- Collecting and delivering of mail, invitations, and payment documents.
- Deliver correspondence to government authorities/organizations and assist in processing various permits (such as Residency Permit, Visas etc).
- Ensure the safety of passengers and vehicles at all times when on duty.
- Work, with the other drivers and Logistics staff, to keep AAH fleet fully functioning (all maintenance, insurance, services), with the support of the security team as and when needed.
- Manage the day-to-day maintenance of the assigned vehicle to ensure roadworthiness before departure. This includes daily check of tyres, brakes, engine oil, fan belt, etc. Ensure Cleanliness of vehicles at all times.
- Ensuring that the keys are returned to the safe at the end of the day.
Objective 2 : Administration
Responsible for the following activities:
- Complete daily vehicle record sheets for each vehicle (including petrol and oil purchases) and timely submission for overtime calculations.
- Fill in the inspection sheet of vehicle status and share with the supervisor. Report promptly any defects or malfunctioning of the vehicle that requires immediate attention.
- Conduct purchases such as vehicle maintenance, office expenditure, etc. Obtain receipts and account for all expenditure.
- Keep track of timely car insurance renewals
- Develop useful contacts.
- General support as instructed by Logistics Manager or Head of Office.
- Cover basic reception duties (answering and transferring of calls / sorting and distributing of incoming and outgoing mail / scanning and faxing documents / meeting and announcing visitors / operate and assist with the Ministries computerized database / manage booking diary for meeting rooms) as and when required
