DRC/DDG has been working in the region in Libya and Tunisia since 2011. In 2014, DDG started a project in border towns in southeast Tunisia to address community security and resilience by establishing local committees for community dialogue and conflict management. DDG is now seeking to start a new project that reinforces the committees in Tunisia and also extends them into Libyan border towns.

About the job

Under the supervision of the Supply Chain officer, the supply chain Assistant is responsible for assisting in procurement operations, such as expediting purchases, maintaining communications with vendors, receiving and verifying the accuracy of Procurements and if it follows DRC Procedures

The assistant will support in daily procurement operations to respond to Tunisia Staff requests. Your main duties and responsibilities will be:

Fleet Management

  • Assist in managing Driver’s movements and make sure the DRC Tunis Cars are regularly serviced
  • Prepare the monthly vehicle reports for the Tunis based vehicles and shared with the Supply chain officer
  • Do follow ups on fuel consumptions and make sure the fuel card is recharged and available for use.

Procurement

  • Maintain a high-quality procurement system, which is accountable, transparent and compliant with DRC’s Procurement Policy and donor requirements.
  • Assist the supply chain officer in maintaining a high-quality procurement system which is accountable, transparent and compliant with DRC’s Procurement Policy and donor requirements.
  • Accept all Purchase requisitions on the system and ensure they are recorded in the procurement tracking sheet.
  • Collect quotations as required
  • Prepare the relevant documents for the procurement of goods and services according to DRC procurement procedure
  • Maintain and update the supplier database and share it with the supply chain officer.
  • Assist in creating framework agreements with different suppliers in Tunis
  • Assist in making sure all Purchase requisitions are closed and received in the system
  • Follow up on purchase agreements in the system
  • Assist in daily and emergency requests.
  • Make sure Tunis office is well maintained and assist to ask for any needed repairs
  • Check that all assets old and new are properly recorded and tagged.
  • Perform the physical asset check

IT Tasks

  • Assist to Provide IT support to the program and support staff as required.
  • Participate in installing drivers (including printer\scanner drivers) and relevant software for new laptops and desktops Service and maintain printers and another IT hardware.
  • Advise on the usage of internet and ensure that IT regulations are followed
  •  Assist to drive the use of technology in the organization, to assist in providing technology support and solutions to meet the needs of the organization

We offer

Contract length: 3 months contract renwable depending on both funding and performance.

Band:  according to band I

Designation of Duty Station: Tunis, Tunisia.

Start date: 22 April 2019.

Critères d'éligibilité

  • 1 year of relevant work experience in similar job preferably in an NGO. Moreover, we also expect the following
  • IT skills, including experience in operating an ERP supply chain system
  • Experience in supply chain management
  • Experience with standard procurement procedures and documentation.
  • Good negotiation and sales skills
  • Good communications skills
  • Ability to deal with emergency situations
  • Diploma in Supply chain or related area.
  • Fluency in English
  • French is required
  • Fluency in local language
