Job Purpose:
BBC Media Action seeks an enthusiastic Procurement Officer to provide high quality services and effective financial / procurement support to staff. This role would work closely with the administrative and financial team and would report to the Head of finance.
Responsibilities:
- Provide a comprehensive range of financial support to the BBC Media Action finance team.
- Support the Head of Finance in smooth running of finance operations and procurement.
- Assist in the procurement of supplies and services from quality vendors and suppliers following BBC Media Action’s procurement policy.
- Complete all procurement documentation according to BBC Media Action’s policies and guidelines and according to donor requirements.
- Be the BBC point of contact in the areas of tax and other legal matters and ensure compliance with applicable laws.
- Provide the necessary assistance to the international staff in terms of utilities
- Arrange for the supply/allocation of office equipment and supplies, materials, and vehicles as required by the Department. This will include the following functions: preparation of specifications, tenders and schedules; obtaining and negotiating prices; obtaining quotations and placing orders and processing invoices.
- Ensure that goods purchased are to specification in terms of quality, quantity and delivery and to advise on those suppliers who fail to meet specifications.
- Process payments, expense claims, advances and per diems according to BBC Media Action policy.
- Establish, develop and maintain suitable spreadsheets, databases, management information and evaluation systems as requested.
- Support the Head of Finance to track cash flow on a weekly basis through liaising with different team members to find out upcoming transactions.
- Book transactions on Dimension Accounting Software and follow the Head Office guidelines for the month-end closing within the deadline.
- Support the Head of Finance in preparing the financial reports, the income and expenditure records, the cash handling and the bank reconciliations.
- Maintain and update the office assets list including the field production equipment
- Handle internal and external enquiries professionally
