 Job Purpose

BBC Media Action is looking for an assistant to provide the necessary support during the moving process.

This is a key role during the move process, supporting across departments from the beginning to the end. The person will be responsible for supporting the IT and Facilities Officer in all the work related to dismantling, cabling and packaging. S/he will assist the finance and procurement officer in logistics, as well as keeping relevant files up-to-date and getting quotations.

The job varies from liaising with the technical suppliers on the office needs, to the completion of any necessary paperwork. The Move Assistant will be a valued member of the administration team, ensuring the move takes place efficiently and within the set timeframe.

Main Duties

• Ensure that all the assets are clearly labeled, logged and safely packed.
• Responsible for safeguarding and keeping track of all items’ transfers during the move.
• Liaising with suppliers and updating and maintaining any paperwork regarding the removals, under the supervision of the Finance and Procurement Officer.
• Liaise with the different teams in the office in arranging the packing and movement of assets and files.
• Communicate efficiently with current and prospective suppliers providing any required information and maintaining correspondence throughout the moving process.
• Help in identifying logistical problems and plan appropriate solutions.
• Complete all other necessary tasks set by the IT and Facilities Officer.
• The Move Assistant must abide by BBC Media Action’s Health and Safety Guidelines, and all other relevant guidances and policies, including procurement.
