General functions
The Accountant is responsible for maintaining the budget, recording and reflecting fully, accurately, clearly and in a timely manner the funds that are allocated and the disbursements made to support projects implementation, in accordance with the approved documents. The Accountant will ensure the use of standard financial and accounting procedures.
The responsibilities and duties of the Accountant are as follows:
Account and Finance Management
- Preparation of Financial Results and Coordination with Auditors;
- Supervision of Accounts Receivable and Payable;
- Keeping day to day accounts of I WATCH / cash balance;
- Preparation of Budget and Forecast and variation analysis;
- Agreement preparation and other legal-financial activities;
- Follow up budget and financial aspect of all transactions and expenses made;
- Check budget lines to ensure that all transactions are correctly booked to the correct budget lines;
- Review all invoices, check and approve them;
- Manage bills and financing requests and prepare payment orders;
- Process payment of salaries, allowances, travel claims and other payments to I WATCH staff, vendors and other claimants;
- Follow up I WATCH bank accounts and prepare bank reconciliation of different financing sources of the organization;
- Establish a robust project accounting system, including reporting and filling systems, in accordance with the project documents;
- Maintain an inventory file to support purchases of all equipment/assets.
Reporting & monitoring
- Compile and submit quality financial reports and meet reporting requirements and deadlines:
- Submit a weekly internal financial report to the Project Coordinators;
- Submit a monthly internal financial report to the Board and the Executive Director / Senior Projects Officer;
- Prepare monthly, quarterly and annual tax and CNSS declarations;
- Monitor and evaluate financial and accounting activities of ongoing programs internally and externally;
- In a spirit of flexibility and multitasking, you fulfill any other duties as requested by the Executive Director / Senior Projects Manager;
- Follow up with and provide the external auditor with the necessary documentation;
- Respond to the questions / inquiries of the external auditor.
