Title: Administrative Assistant  

Length of Assignment: Long-Term 

Reports to: Operations Manager 

  1. BACKGROUND 

The purpose of the USAID-funded Jobs, Opportunities & Business Success project (JOBS) is to create jobs  in Tunisia on a sustainable basis by (1) providing targeted assistance to Tunisian businesses, especially  SMEs, to expand their sales and/or exports enabling them to expand and hire additional workers; (2)  enhance work force development by reducing the education/training gap between what the university and  vocational training systems provide and the actual needs of Tunisian businesses; (3) promote a more  effective business enabling environment by working with the public and private sectors to promote policy  and regulatory reforms; and (4) communicate to Tunisians, especially youth, a sense of the importance of  market-led economic growth and entrepreneurship, as well as vocational education as an apt career choice. 

JOBS also aspires to have project stakeholders and Tunisians at large understand and be aware of USAID’s  contribution to these objectives through the JOBS project.  

  1. POSITION DESCRIPTION 

The Administrative Assistant will support a variety of administrative and logistic support duties for all  project in Tunis and the regional offices (nine in total), hotels booking and logistics related functions. 

  1. DETAILED RESPONSIBILITIES  
  • Assist the Operations Manager in the management of hotel bookings and payments
  • Assist the Operations Manager in the management of hotel agreements
  • Respond to the logistics needs and requests of the regional offices
  • Provide support to manage all backstopping for regional offices (leases, office needs, cleaning needs, utilities, furniture, etc.) 
  • Provide support to manage lease contracts and the relations with the landlords of the regional  offices 
  • Support the Operations Manager in the management of the schedules of cleaning staff in regional  offices 
  • Assist in processing financial requests-payments and submitting of invoices in project’s accounting system, D365
  • Other duties to support the Operations Team and project as required.
  1. LEVEL OF EFFORT AND PERIOD OF PER FORMANCE 

This position is long-term, on a full-time basis.  

  1. LOCATION OF THE ASSIGNMENT  

The assignment will be in Tunis. 

  1. SUPERVISION AND REPORTING  

The Administrative Assistant will report to the Operations Manager. 

  1. ELIGIBILITY CRITERIA  
  • At least 3 years of professional experience. Progressively responsible experience in administration,  operations, logistics or related field preferred 
  • Bachelor’s degree (or equivalent) in related field of study 
  • Excellent verbal and written communication skills 
  • Highly computer literate with advanced e-mail, word processing and spreadsheet management  skills 
  • Excellent interpersonal and organizational skills. 
  • Experience with USAID projects preferred. Experience with international donor-funded projects  also an advantage 
  • Oral and written fluency in English. French and Arabic experience preferred
