POSITION DESCRIPTION
Position Title: Admin Assistant
Position Classification: Fixed Term – (Full Time), Tunisian, and CCN, and will be based in Tunis, Tunisia.
Project Overview: The Power Tunisia activity seeks to advance self-reliance in Tunisia by strengthening the country’s institutional capacity to manage, operate, and maintain a modern, diversified and financially sound electricity system. The activity has three core objectives:
- Strengthening the energy sector’s performance
- Diversifying and securing energy supply
- Promoting advanced technology pilots and partnerships
Position Overview: Assist Office Manager in the successful administration of the USAID Power Tunisia Activity’s field office operations by providing general administrative and support based on project needs.
Detailed Responsibilities: The Employee shall perform the following general functions:
- Coordinate administrative tasks and operational activities including development and execution of project-supported specific events/initiatives;
- Maintain hard copy and electronic filing system of all project documentations in accordance with USAID and Deloitte policies and regulations;
- Provide administrative and logistical support to events, trainings, workshops, and meetings;
- Oversee project inventory, event planning, vendor relations and assist project procurement activities;
- Monitor a weekly inventory and the efficient use of the office stationeries and supplies;
- Maintain records, prepare reports and correspondence relative to the work;
- Assist Office Manager in maintaining compliance with Power Tunisa, Deloitte and USAID policies;
- Maintain asset logs and inventory;
- Assist with admin-related requests for project staff;
- Follow-up of warranty agreements; and
- Fulfill other duties and responsibilities as assigned.
Supervisor and Reporting Responsibilities: For all routine responsibilities and duties, either directly or indirectly related to the Position description, the Employee shall report directly to, and be supervised by the position of Office Manager. The Employee’s Supervisor may change from time to time on an ad hoc or temporary basis depending on the needs of the Project.
Qualifications:
- Minimum Degree Required: bachelor’s degree in a relevant field such as business administration or a related discipline;
- Minimum Years of Relevant Experience: 3-5 Years
- Knowledge of the principles of office management including organization, workflow, forms, supplies, equipment, and procedures relating to filing, record keeping, correspondence, mail, procurement, stock keeping, and duplicating;
- Ability to communicate effectively;
- Prior experience coordinating office operations including providing general administrative support, arranging travel, capturing meeting minutes, and assisting with events management;
- Adherence to confidentiality and data protection requirements;
- Ability to work independently with minimal supervision in a fast-paced office environment;
- Ability to effectively manage competing priorities and provide administrative support across multiple teams;
- Familiarity with reporting requirements for USAID projects or/and other international donors preferred;
- Excellent organizational and time management skills and attention to detail;
- Able to engage effectively with counterparts and technical staff and work as part of a supportive team to document results objectively and in clear terms;
- Proficient in Microsoft Office Suite;
- Excellent written and verbal French, English and Arabic skills;
- Professional and ethical conduct, respecting cultural differences.
